This role will lead event logistics, both within a project team on a range of projects and collaborate on larger, more complex scopes of work. Events will range from high-profile Launch events, Retailer Training, Awards,
Conferences, as well as smaller hosted Media and Influencer events. The role will oversee the day-to-day
planning and successful delivery of these types of events. This will include proposals, budgets, schedules
and onsite project delivery. The role will be client facing and will include maintaining existing and building
new client relationships.
Key Responsibilities
- Develop project proposals, write effective, compelling project briefs, presentations and working documents
- Demonstrate financial responsibility through effective proposal costing, budget development, control and timely reconciliation against pre agreed SLAs
- Manage all aspects of assigned project execution keeping within established budgets and timeframe
- Devise and implement revenue-generating ideas
- Brief and manage all relevant internal specialist teams, ensure schedules are adhered to and all
documentation and project filing is complete - Develop timelines and delivering project detail by working closely with relevant third-party
suppliers - Maintain and develop both client and third party supplier relationships
- Demonstrate successful onsite management and delivery, ensuring projects reflect briefs and meet
objectives - Apply knowledge of automotive brands, products, and competitive environment
- Mentor junior team members
- Willing and able to travel internationally for work, and from time to time work unsociable hours (inc.
weekends) for extended periods - Fulfilling the role in compliance with company policies and procedures, for example (but not limited
to) ISO documentation and Information Security training.
Skills, Knowledge & Expertise
- Proven track record of managing and delivering global corporate events and a proven understanding of the events and exhibitions industry
- Strong sector brand experience (within an agency environment) - understand clients, competition
and strategy - Current knowledge of the events industry; hotels, venues, caterers, transportation, entertainment
etc - First-hand experience of ‘off the shelf’ and bespoke delegate management systems
- Producing complex scheduling and itinerary documentation
- Overall 3 rd party supplier management e.g promotional staff, freelancers, DMCs, venues, transport
suppliers - Excellent interpersonal, presentation, relationship building and negotiation skills
- Resilience working with a board range of clients with differing levels of experience
- Strong understanding of multi-channel communications
- Organised with the ability to prioritise work and deliver under pressure
- Possess strong commercial management skills and have experience in consolidating project costs
and budgetary control - Ability to write accurate and timely contact reports and brief internal teams
- Flexible and adaptable to new challenges and requirements and committed to learn and grow
- Meticulous attention to detail and a creative mind
- High proficiency in Microsoft Word, Excel, Google documents and PowerPoint
- Good understanding of information security and business systems, GDPR
- Fluency in additional European Languages would be a significant benefit
- Previous experience of working in the Automotive Events Industry would be a significant benefit
