We are expanding our busy reception and administration team to include an additional receptionist/administrator.

A well-presented, enthusiastic, confident andcapable person, you will need to be a good team member, possess excellentadministrative organisational skills, be self motivated and able to payattention to detail.

Main duties of the job

The Receptionist/Administrator will join our front of house team to provide patient focused telephone and administration services that assist and direct patients in accessing the appropriate service or healthcare professionals.

In addition, the ideal candidate will also be given an administration shift. Tasks could include scanning, script queries, BP monitoring, patient reviews and general administration duties.

We are an EMIS practice with three GPs and 9500 patients; we are an extra-ordinary workplace situated in Crowthorne with a comfortable supportive team of clinical team includes advanced nurse practitioners, paramedic, practice nurse, assistant practitioner and have a pharmacist on site, as well as a physiotherapist along with a social prescriber and mental health support from MIND.

Our reception and admin team include medical secretaries, medical records officer, QOF administrator and clinical assistant. We also have a small management team consisting of a reception manager, finance manager and practice manager.

Our team provide a first-class service; we take care of our staff and our patients; we value are well respected for the service we provide.

Job responsibilities

This role has developed over theyears to be, more than ever, an integral part of any Primary Health Care HealthTeam (PHCT) within General Practice. Youwould have varied responsibilities that are stimulating but alsodemanding. The environment is busy andyou would need to be an effective team worker alongside your colleagues.

The position demands an abilityto exercise different skills, the following outlines some of the tasks, but dueto the constantly changing environment, the list is not exhaustive. The areas of responsibility can be separatedinto groups but the tasks will overlap, those listed below are standardrequirements for the position of a medical receptionist.

People:

Patients: Meeting, greeting, face to face and onthe telephone; attending to their needs appropriately. Making appointments, taking messages,providing information in a courteous and polite manner

Doctors: Supporting the doctors administrativework and taking care of their rooms.Taking, recording and transferring messages.

PHCT: Working effectively amongst theteam, providing sickness or holiday cover as necessary. Attend training sessions, both formal andinformal. Liaise with Community staff;District Nurses and Health Visitor

Visitors: Welcome visitors to the practice,ensuring they sign in at reception

Premises:

Open/Close: Responsibility for opening and closingpremises on time, setting the alarm as required

Security: Ensure all doors and windows are lockedbefore leaving the premises and that any sensitive information or documentationis locked away

Health &Safety:

To be aware of theHealth and Safety regulations for yourself, your colleagues and yourpatients. Reporting any concerns to asenior member of staff. Record anyaccidents or incidents in the accident book

Waiting Room:

To keep the waiting room andsurrounding area clear and tidy

IT/Computer: Use of the practice clinical system to make appointments, look up patienttest results and record information

Registrationof temporary patients on the clinical system, making amendments as necessary

Input and extraction ofdata for various tasks

Using Microsoft softwareto send and receive e-mail etc.

Use of the NHS network(Internet Service) to source or transfer information

Systems: Follow practice procedures andprotocols as guidance to carry out your tasks.Assist in the development of new protocols

Effective use of thetelephone system for taking and transferring calls

Finance: Accept, record and receipt cash or cardpayments from patients for any

additional serviceswhich the NHS does not cover

Pass cash onto practicemanager or finance manager as soon as possible to add and lock in petty cash.

The abovetasks are standard but as systems develop, are subject to change. The fastchangingclimate of the NHS means new developments are constantly arriving, youwill need tobe adaptable to change.

Confidentiality must be observed at all times, anything you see orhear in the surgerymust not be discussed elsewhere.Breach of confidentiality will result in summarydismissal.

Smoking, taking drugs and alcohol consumption is not allowed on thepremises
