The role is key in enabling our projects and programmes to deliver. As an internal support to our Project Managers and wider BTS team, you’ll help to deploy the governance and standards by which we ensure successful delivery to our customers. The role will entail being in the detail and supporting the hands-on practical application of our Project and Programme Framework, while at the same time being able to take a holistic overview to create reports for the Senior Management and Executives.Working as a pivotal part of BTS you’ll help advise, implement processes, and highlight all the measures that enable the successful tracking and delivery of our complex and diverse projects. Moving forward you’ll help digitise the way this service is delivered with the use of our new Project Management system. This will require you to understand the set up of the system, aid its ongoing design as well as help train and roll out its successful usage.
Key Objectives Of The Role:
Leading on the development and implementation of project management standards and processes and supporting the team in there usageAssist in the development and maintenance of project management methodologies, standards, and tools. Identify opportunities for process improvement within the PMO and across projects.Maintain project documentation, including plans, schedules, and reports, ensuring accuracy and compliance with PMO standards.Tracking and reporting on project performance, progress, timescales, costs, benefitsAssist in the identification, assessment, and management of project risks and issues. Maintain risk and issue logs, ensuring they are up-to-date and accurate.Facilitate communication between project teams, stakeholders and the PMO. Assist in organising and coordinating project meetings, including preparation of agendas and minutesAnalyse project data to identify trends, variances and areas of concern and provide insights and recommendations based on data analysis to improve project performance.Support the allocation and management of project resources, including personnel and budgets.Tracking resource availability and utilisation across projects and assisting in the development of resource management plans and schedulesSet up, administer, and develop the new Project Management application (Smartsheet’s)Provide training and support to project teams on PMO tools, processes, and best practices.Assist in onboarding new project managers and team members, ensuring they are familiar with PMO standards and tools.
Experience, Skills & Competencies:
PREVIOUS EXPERIENCE:Experience in PMO set up desirable.Analysis, reporting, and administrative support for project management activitiesStrong Analytical and problem-solving skillsA good team’s player who is eager to learn and is curious. Good attention to detail, with great communication skills MSP or Prince2 certification – preferredSKILLS AND COMPETENCIES: Analytical thinking - Ability to problem solve and to be able to identify, resolve and convey complex problems simply, to aid in rapid issue resolution, thinking beyond the obvious solution.Decision making – Can make rational and informed decisions on the best course of action and be able to take the initiative, drive action and be responsible for the consequences of the decisions made. Planning and organising – Are self-managing and can think ahead to establish an effective, efficient, and appropriate courses of action.
