As our UK & Ireland Procurement Specialist, you’ll play a crucial role in managing £140 million of external expenditure annually. This position offers hybrid working arrangements, allowing you to work from one of our UK sites.

Responsibilities

Procurement Transformation / Process Improvement

Lead and manage cost avoidance initiatives to identify and implement savings opportunities through business process improvements. Monitor and report on cost avoidance performance metrics. Drive continuous improvement initiatives within the procurement function. Develop and implement best practices, policies, and procedures to enhance procurement efficiency and effectiveness. Where categories of expenditure are managed centrally, be the regional point of contact for the UK&I operations: categories such as uniform, ppe, travel.

Supplier Onboarding

Develop and manage the end-to-end supplier onboarding process, including vendor registration, documentation collection, and qualification procedures. Ensure the timely and efficient onboarding of new suppliers while maintaining compliance with organizational policies and regulatory requirements. Design and implement a comprehensive pre-qualification questionnaire to assess the suitability and capabilities of potential suppliers. Collaborate with stakeholders to define pre-qualification criteria and evaluation metrics. Continuously review and update the Supplier Due Diligence questionnaire to enhance its effectiveness and relevance.

Supplier Performance Monitoring:

Develop and implement a supplier performance monitoring programme whilst providing the business with the means to report on supplier performance. Develop and maintain supplier scorecards and performance reports. Conduct regular reviews and audits of supplier performance. Identify and address performance issues, working with suppliers to develop corrective action plans.

Data Analytics and Reporting

Utilize data analytics to support procurement decisions and strategy. Analyse procurement data to identify trends, risks, and opportunities for improvement. Prepare detailed reports and presentations on procurement performance for senior management. Develop and maintain dashboards and reports using Microsoft Power BI or other relevant tools.

Microsoft Power Platforms:

Leverage MS Power Platforms (Power BI, Power Automate, Power Apps) to streamline procurement processes. Create automated workflows to enhance efficiency and accuracy in procurement activities. Train and support team members on using Power Platform tools effectively.

Procurement Process Promotion:

Promote the adoption and adherence to procurement processes and policies across the organization. Conduct training sessions and workshops to educate employees on procurement best practices. Advocate for continuous improvement in procurement activities and compliance. Systems Expertise: Act as the subject matter expert for procurement systems and tools, specifically the pending implementation of Zycus P2P. Ensure procurement systems are optimized, maintained, and aligned with organizational needs. Troubleshoot and resolve issues related to procurement systems.

Procurement Communications:

Develop and manage procurement communication plans via One Net to ensure clear, consistent, and effective messaging. Serve as the point of contact for procurement-related communications within the organization. Maintain the Procurement SharePoint page ensuring content is current and up to date at all times. Stakeholder Collaboration: Work closely with internal stakeholders to ensure alignment of procurement activities with organisational objectives. Facilitate communication and collaboration between procurement, suppliers, and other departments. Provide training and support to procurement staff on performance management practices and tools.

Line Management of Procurement Support Team

Supervise and oversee the daily operations of the procurement support function. Manage resources effectively to ensure that procurement admin tasks are completed within budget and timelines.

Be the point of contact to the wider procurement team to ensure requests for support/tasks are distributed evenly and fairly.

Qualifications

Skills:

Administration of Supplier Selection and Onboarding: Manage the process of selecting and onboarding suppliers efficiently. Data Analysis using Excel: Proficient in analyzing and interpreting data using Microsoft Excel. Effective Communication: Strong oral and written communication skills to implement procurement policies and processes across the organization.
