Unit Clerk

Band: 2

Location: Intensive Care Unit

Accountable to: Matron

Reports to: Senior Sister/Charge Nurse

Job Purpose:

To provide reception and clerical support to the Unit team. To ensure effective support to patients, relatives and other members of the public. To ensure confidentiality and security of patient information as per Trust policy. The post holder will contribute, once agreed and developed, to support the Audit and Data Collection systems within the specialty.

Dimension:

Work within a team of 6 12 staff per shift in a support role within an 8 15 bedded Intensive Critical Care Unit under the direction of the Senior Sister/Charge Nurse.

Key Relationships:

Senior and junior medical and nursing staff, Unit audit staff, facilities staff, other health care professionals, social workers, other care providers, patients and their relatives, medical secretaries, health records, clinical coding, IT staff and GP Surgeries.

Risk Assessment:

The post involves VDU work, manual handling activities and individuals may be exposed to violence and aggression.

Key Responsibilities:

To participate in receiving patients, staff and visitors in a professional and welcoming manner. Ensuring confidentiality of patient information as per Trust policy. To ensure that all patients details and activity is accurately recorded using the current patient administration system, manual and computerised. To ensure that patient case notes are available, creating temporary notes whilst original notes are located and in a EPR digitalised system. Maintain case notes in a tidy manner, filing results and other patient documents as per Trust policy. To ensure that all case notes movements are tracked on the current Trust systems. To participate in ensuring x-rays and reports are available as requested and required. To participate and support in the Audit and Data Collection Systems within the Unit once agreed and developed, liaising with the designated Audit lead for the Unit or Clinical Coding Department ensuring information is accurate and timely. To undertake duties that include photocopying, scanner operating, mail distribution, typing and stock/housekeeping activities with direction and support. Contribute to the implementation of service developments. Maintain good relationships and communication with other departments and multi-disciplinary teams. To support in dealing with patients personal belongings in association with the admitting nurse. To participate in teaching programmes for the role and attend mandatory training days. Develop own knowledge and skills and contribute to the development of others. Monitor and maintain Health & Safety and security of self and others in own workplace. Support peoples equality, diversity and rights. Support the ordering systems and maintenance of adequate stationery stocks and provisions within the Unit under the supervision of the Unit Sister/Charge Nurse. Monitor and maintain physical resources for the work area. To be conversant with Trust and other policies and procedures and mechanisms in place. To maintain a professional attitude at all times in the best interest of the patient and the public. Person Specification
