The ProcurementAdministrator plays a vital role in supporting the procurementfunction by assisting with administrative tasks managingdocumentation and facilitating communication between internalstakeholders and suppliers. This role involves maintainingprocurement records processing purchase orders and ensuringcompliance with procurement policies andprocedures.

Duties andResponsibilities:

  • Receiveand review purchase requisitions from internal departments ensuringaccuracy and completeness ofinformation.
  • Create andprocess purchase orders using procurement software or systemsverifying pricing quantities and deliveryrequirements.
  • Communicatewith suppliers to confirm order details lead times and deliveryschedules and track order status to ensure timelydelivery.
  • Assistin maintaining supplier databases and records including contactinformation contract details and performancemetrics.
  • Communicate withsuppliers to request quotes negotiate pricing and resolve issuesrelated to orders deliveries orinvoices.
  • Conduct supplierevaluations and assessments to assess performance quality andreliability.
  • Maintainaccurate and uptodate procurement documentation including purchaseorders contracts invoices and correspondence withsuppliers.
  • Organize andfile procurement records in accordance with retention policies andregulatory requirements ensuring accessibility and confidentialityasneeded.
  • Ensurecompliance with procurement policies procedures and regulationsincluding approval workflows spending limits and ethicalstandards.
  • Assist inconducting procurement audits and reviews to identify areas forimprovement and ensure adherence to best practices and compliancerequirements.
  • Preparereports and data analysis on procurement activities expendituresand supplier performance providing insights and recommendations tosupportdecisionmaking.
  • Monitorprocurement metrics and key performance indicators (KPIs) trackingprogress towards goals and objectives and identifying opportunitiesfor cost savings or processimprovements.
  • Provideadministrative support to the procurement team including schedulingmeetings preparing agendas and taking meetingminutes.
  • Coordinate withinternal stakeholders such as finance operations and inventorymanagement to ensure alignment of procurement activities withorganizational needs andobjectives.

Skills andExperience

  • Previousexperience in a procurement or administrative role preferably in asimilar industry or sector.
  • Knowledge ofprocurement processes procedures and terminology.
  • Proficiency in using procurement software or systems(e.g. SAP Oracle Coupa) is desirable.
  • Strongorganizational skills and attention to detail with the ability tomanage multiple tasks and priorities effectively.
  • Excellent communication and interpersonal skills with theability to liaise with internal stakeholders and external suppliersprofessionally.
  • A qualification in procurementbusiness administration or a related field may beadvantageous.
  • Familiaritywith relevant procurement regulations and compliance requirements(e.g. EU procurement directives GDPR).
  • Abilityto work independently and collaboratively in a team environmentdemonstrating initiative and problemsolving skills.
  • Proficiency in Microsoft Office applications particularlyExcel Word and Outlook.
  • Commitment tomaintaining confidentiality and integrity in handling sensitiveprocurementinformation.
