Main duties of the job

Theservice receives referrals from a range of sources including external agenciessuch as GPs, internal colleagues within the trust, and self-referrals fromclients wishing to access the service. Key Tasks within role:To manage the scheduling of new/review patients in line with national standardshighlighting any capacity issues to the Admin Lead, Clinical Team Manager asneeded.

To manage the Clinician diaryon a day-to-day basis, making changes to the profiling of slots as requested byclinicians. To provide supervision tojunior staff as and when needed. To ensure that all mandatoryinformation systems are updated within Iaptus. To oversee cancellation andrescheduling of appointment requests. To coordinate the admin inboxensuring colleague and patient communications are responded to promptly. Minute taking at internal andexternal meetings. To process anyincoming/outgoing mail. To be responsible for the managementof petty cash. To be responsible for theordering of stationary. To provide support to the widerMental Health Admin Teams in times of shortfalls.

Thepost holder should be organised, empathetic, and adaptable to change.

The post holder may occasionally be exposedto upsetting and distressing calls, therefore an element of resilience isneeded, however full training is provided internally.

To be the first point of contact for serviceusers and professionals contacting the Service to make a referral via the telephone,showing empathy and understanding. Completing the referral form over the telephone,where required, ensuring patient information is inputted into the Iaptus Systemin real time efficiently and effectively. To liaisewith the Clinical Team as referrals are received to ensure they are triaged ina timely manner. To coordinatethe scheduling processes on a day to day basis including overseeing anycancellation or rescheduling of appointments.
