Therole

The Office and BoardAdministrator will provide support to the Board of Directors andthe Executive Leadership Team (ELT) ensuring smooth and efficientoffice management operations. This role requires a highly organizedproactive and adaptable individual capable of managing multiplepriorities with professionalism andconfidentiality

KeyResponsibilities:

1. ExecutiveSupport:

  • Providehighlevel administrative support to the Executive Leadership Teamincluding scheduling meetings coordinating travel arrangements andexpense management
  • Support preparation anddistribution of Executive team monthly management Board reportingpacks and other documents on behalf of the ELT
  • Support coordination andpreparation of Town Hall decks and agendas
  • Compile data and preparereports and documents as requested by theELT

2. Board andCommitteeSupport:

  • Schedule andcoordinate board meetings including preparing agendas maintain andupdate meeting records. Ensure all papers are circulated as peragreed timelines
  • Takeminutes during meetings and ensure accurate and timely distributionof meeting minutes and followup on action items
  • Support the preparationof materials for the meetings
  • Serve as the primarypoint of contact for Board members addressing inquiries andproviding necessarysupport

3. AGM& Member DirectorElections:

  • Providelogistical support for Annual General Meetings (AGMs)
  • Assist in the preparationand distribution of AGM notices and documentation
  • Support the coordinationof Member Director elections including candidate communication andvoting process management
  • Assist with onboarding ofnew Member and Independent NonExecutive Directors by sharinginduction materials and arranging introduction sessions

4. OfficeManagement:

  • Support thedaytoday operations of the UK office ensuring a wellorganized andefficient work environment
  • Be responsible for thecompliance aspects of the office such as fire and health &safety including booking annual risk assessments and ensuringtraining for first aider and fire marshals is up to date
  • Manage office suppliesand inventory ensuring adequate stock levels and timelyreplenishment
  • Coordinatewith IT and facilities teams to address office equipment andmaintenance needs
  • Lead inorganizing company events andmeetings

5. ProjectManagement:

  • Actiontracking / monitoring deadlines plus ad hoc support for executionof strategic projects and initiatives. Support the ELT in executingstrategic projects and initiatives by booking meetings andproviding other ad hoc administrative support


KnowledgeSkills &Experience

  • Experienceof organising meetings agenda setting and minute taking
  • Ability to work with ITsystems to improve efficiency in the office
  • Strong organizational andtimemanagement skills with the ability to prioritize and managemultiple tasks simultaneously
  • Strong written and verbalcommunication skills with meticulous attention to detail
  • Proficiency in MicrosoftOffice Suite (Word Excel PowerPoint Outlook) and other relevantsoftware
  • Demonstrablediscretion meticulous about confidentiality and in handlingsensitive information.
  • Proactive andselfmotivated with a strong sense of initiative and willingness tolearn and develop within the role
  • Ability to workindependently and as part of a team in a fastpaced dynamicenvironment.
  • Excellentinterpersonal skills and the ability to build strong relationshipswith stakeholders
  • Problemsolving skills andthe ability to anticipate needs and provide effective solutions
