Job summary

We have an exciting opportunity to recruit an exceptional coordinator to join our Pay Care Team based at St Richards Hospital.

We are looking for an experienced coordinator to join our friendly Pay Care team at St. Richards Hospital in Chichester. To succeed in this role, you will need to demonstrate great customer service, possess good general IT skills and be capable of completing work accurately. The Pay Care Coordinator is responsible for supporting 2 x Pay Care Team Leaders regarding pay related issues and ensuring that these are managed effectively and that there is timely resolution.

Main duties of the job

The post holder supports second line support for staff experiencing pay related problems, liaising with the outsourced payroll provider/ICS payroll hub, rostering team, temporary staffing team and other workforce services/HR colleagues.

The Pay Care Coordinator will support highly complex and contentious issues relating to pay and work in accordance with agenda for change or medical terms and conditions. The post holder will demonstrate outstanding levels of customer service and "go the extra mile" to ensure that staff feel fully supported when experiencing a pay related problem.

A key part of the role will be supporting continuous improvement for pay related processes.

Job responsibilities

Following initial contact with the ICS payroll hub, support the Pay Care Team Leaders in their work of acting as a named point of escalation for second line pay issues, these will relate to UHSussex systems and processes. Ensure that logs and records are maintained regarding pay issues and that there are robust methods to monitor and track the progress of pay escalations. Support and assist Pay Care Team Leaders to resolve pay issues, acting as a trouble shooter, liaising with other teams and departments to understand the route cause of the issue and agree timely resolution. Integrate the NHS Electronic Staff Record (ESR) system to build an accurate picture of an employees pay status understanding the full nature of the pay issue. Apply NHS agenda for change terms and conditions and apply these to individuals. Maintain an up to date awareness of NHS agenda for change and medical terms and conditions of service. Maintain a good understanding of internal HR processes and systems that relate or have an intendency with pay. Where required, support the CHAPS payment process liaising with the Workforce Services Team Manager and Workforce Services and Systems Manager as necessary. Support the authorisation process for SUPP payments within agreed framework. Support service improvements using lean methodology and the Trusts patient first model. Fully embrace and lead a culture of continuous improvement. Develop an awareness and working knowledge of all workforce related systems that have links to pay for example rostering, ESR and expenses. Assist in collating regular reports and analysis of pay issues, presenting these in various forums. Any other additional duties or projects as directed by the Workforce Services Delivery Manager.

Financial Management

Work in accordance with financial systems and processes related to ESR and pay. Ensure that people and financial resources are used appropriately and that financial decisions represent value for money within the workforce services team. Comply with the Trusts financial standing instructions.

Educated to A level or equivalent professional experience Experience of HR processes. Experience of HR systems. Experience of supporting the process of managing highly continuous issues for example pay or terms and conditions of service.
