THE ROLE
Your role will be a key part of the workplace team at our York House facility. As the workplace assistant you are part of a team who is the face of the company. You will provide a 5* level of customer service ensuring all stakeholders across the business are provided and met with professionalism. This role is an integral part of the smooth running of our office and the ability to communicate effectively, work collaboratively and flexibly is crucial as no two days will be the same.
WHAT YOU'LL DO
- Logging workplace helpdesk requests and closing down assigned tickets within agreed Service Level Agreement
- Keeping an appropriate lean inventory level of office supplies to service the user requirements
- Key contact for all matters relating to the ordering of stationery and branded items
- Raising Purchase orders where required to replenish office supplies stock and any other items
- Manage all incoming and outgoing deliveries and post and their distribution
- Provide advice on most cost-effective courier options and co-ordinate collections and deliveries
- Plan and co-ordinate the movement of items required for external staff and customer events
- Scanning, photocopying and filing documents
- Carry out monthly H&S walks of the office and raising any areas of concern
- Responding to ad hoc email and telephone enquiries
- Maintaining good order and cleanliness of the Postroom and Printing areas on staff floors, removal of surplus items
- Daily floor walks to identify missing, out of place or broken items
- Reporting all faults/and or missing equipment to relevant helpdesk
- Maintaining records and appropriate use of staff locker facilities
- Ordering of DSE equipment as requested
- Provide small item furniture room porterage to ensure rooms are set up to meet the customer requirements - including reconfiguration of larger meeting rooms
- Act as a liaison point for the cleaners BAU activities
- Liaising with the Catering, Tech Service Desk and Reception teams to ensure meeting rooms are set up for events in a timely manner.
- Deputising for the Workplace and Facility Manager as required
ABOUT YOU
- Demonstrate excellent customer service skills to ensure the delivery of a five-star service
- Excellent people skills with a can- do attitude able to work unsupervised.
- Clear telephone manner as well as both written and verbal communication skills
- Very well organised with good attention to detail and the ability to prioritise your time
- Familiarity with applications such as Microsoft Outlook, Powerpoint, Excel, Word and Teams - Equipment training will be provided.
- Punctual and reliable
- Excellent level of self-presentation
