Role Description


We are seeking two positions for a Regional Operations Executive role to join our Reading and London Business Management teams, working closely with the Commercial Manager, the Regional Directors and their Regional teams.


These are full-time hybrid roles and the successful candidates will be required to work from the office at least three days per week. As a Regional Operations Executive, you will oversee day-to-day operations, manage projects, and ensure efficient operations across regional offices.


This is a fantastic opportunity to gather first-hand business and commercial management experience, working with senior professionals and undertaking/assisting with back-office and client-impacting tasks. It would be ideal for a step up for an experienced administrator with business management aspirations or a business management graduate wanting to kick start their career.


Responsibilities


  • Implement, under the direction of the Commercial Manager, processes, and procedures for the coordinated implementation of the Business Management process system.
  • Manage/assist/control the input of project lead information, pipeline job information, and live job information ensuring consistent company-wide data is captured.
  • Assist the Regional team on operating the Business Management System ensuring that timesheets are completed efficiently and accurately.
  • Coordinate and manage Regional invoicing and collation of relevant data/reports.
  • Coordinate and manage regular regional fee forecasting to ensure all data is accurate and up to date.
  • Monitor cash collection and ensure job runners secure / report on cash collection where targets are not being met.
  • Monitor regional team project profit reports and liaise with job runners to provide narrative/mitigation strategy for unprofitable jobs.
  • Arrange / Coordinate meetings/diaries for the Regional Directors and Executive Directors.
  • Arrange/coordinate Regional team social events and regional team CPD (in liaison with the HR and Training Partner).
  • Manage the company's Health and Safety and First aid responsibilities.
  • Co-ordinate meeting room booking/venue booking for the Regional team.
  • Order office supplies as necessary.
  • Manage/co-ordinate Purchase Orders for sub-contract / consultancy services in support of the Regional team function.
  • Manage/coordinate local ESG initiatives.
  • Co-ordinate/manage accurate and timely expense submissions for the Regional team.
  • Ensure the Regional team's social media/blog is coordinated with the Marketing and Communications Executive.


Skills and Qualifications


  • Strong interpersonal skills, with the ability to build and maintain relationships
  • Experience in operations management and optimising processes
  • Proficient in Microsoft Office, particularly Word, Excel & PowerPoint
  • Analytical skills, with the ability to gather and interpret data
  • Excellent communication skills, both written and verbal
  • Able to work independently and collaboratively in a team
  • Experience in the planning or real estate industry is a plus
  • Preferably a Bachelor's degree in a relevant field, such as Business or Operations Management
