The Role


As the fleet manager, you will be responsible for the management and maintenance of the company’s entire fleet of vehicles as well as the equipment installed on them. Additionally, you will be expected to over see the maintenance of the company’s static tanks and dispensers at its depots.

Selecting the most cost-effective vehicle maintenance program, including competitive third party repairs. Assist in the design and the building of new vehicles. Maintain all mechanical parts (tanks, pumps, gauges etc...)Train all fuel operators with pump operations and basic vehicles and pump repairs. Keeping records and implementing systems to achieve and maintain all the various certifications that company holds and wishes to attain, e.g.: ISO certifications and FORS etc.


Main Tasks:


• Be initial point of contact for queries to O.M for all transport and depot tanks

• Participates in strategic initiatives by leading them and reporting results back to the O.M.

• Ensuring that the company meets all statutory transport requirements

• Oversee the expansion of the fleet and help locate and purchase new vehicles as agreed with O.M

• Manage monthly fleet budget and operational spend costs as implemented by the Head of Finance

• Monitor variances of fuel stocks on vehicles and static tanks, report fuel stocks twice monthly.

• Assist O.M and the executive team to prepare and present board papers in regards to the fleet aspects of the business.

• Identify, investigate and propose fleet cost saving opportunities within the supply chain and develop operational plans for implementation, while ensuring due diligence, stakeholder engagement, and accuracy of data is completed and up to date.

• Obtain and verify transport rates from service providers to determine market rates etc.

• Work with Depot Managers to ensure consistency, alignment and efficiency where areas overlap and to continuously improve service and cost

• Ensure any vehicles due for maintenance are booked in with supplier at a competitive cost.

• Carry out a monthly review/status meeting all staff involved with transport and with all connected departments

• Carry out a quarterly meeting with O.M and connected departments to include policies and processes according to Operator and Driver Handbooks

• Support the business through change and growth periods from an operational stance

• Ensure that the brand and company are represented in the highest esteem with partners, suppliers and customers as well as all internal staff

• Support all staff members to perform their duties to the best of their ability

• Strategically managing time, evaluating opportunities and determining fit with priorities across projects

• Support internal communications, ensuring that communication flows are well structured &delivered in an engaging manner

• Provides training and coaching for other staff members relating to fleet operations

• Taking part with the Driver Manager in Tool Box Talks to drivers on relevant subjects

• Report daily of fleet status and required actions as well as repair timing.

• Reduce costs of maintenance.

Furthering personal development through any training that the Company deliver/arranges or wants completed in order to successfully fulfill the requirements of the job

Ability to be flexible and complete necessary tasks and duties outside of this JD when required

Follow instruction of Company Management and maintain obligations as per your contract of Employment and all company processes and procedures


Initial KPI’s / Targets


Number of vehicles on the road to be at or above 90%

Number of failed MOT’s to be 0

Number of missed PMI’s to be less than 2 per quarter

Cost of maintenance to be less than 3p per litre dispensed

FORS silver to be acquired and maintained


24-7 operation and therefore working outside of “usual hours” may be required however, this position is mainly Monday–Friday 08:00–18:00
