Role Description

This is a contract onsite role for a Personal Assistant at a luxury real estate properties firm in United Arab Emirates and UK. The personal assistant will act as a point of contact between the Client and the Dubai office. Facilitate communication, primarily with Filipino colleagues, to ensure smooth workflow.

If applicable, leverage Mandarin or SEA languages for internal communications.


Key Responsibilities:

  • Manage the Client’s daily, weekly, and monthly calendar using Google Calendar (or other recommended scheduling software).
  • Schedule meetings, appointments, and events, ensuring timely reminders and conflict-free planning.
  • Adjust schedules dynamically when required, especially during travel periods.
  • Research and book flights, accommodations, and transportation for both business and personal trips.
  • Coordinate travel logistics, including visa applications if necessary.
  • Stay updated with flight status, changes, and other travel-related issues.
  • Handle restaurant reservations and ensure that all special requests are accommodated.
  • Book venues for meetings, conferences, and other business-related events.
  • Plan and organize meeting agendas.
  • Take detailed meeting minutes and distribute them to relevant parties.
  • Follow up on action points from meetings and ensure tasks are completed.


Liaison with Dubai Office (Mainly PH Colleagues):

  • Act as a point of contact between the Client and the Dubai office.
  • Facilitate communication, primarily with PH colleagues, to ensure smooth workflow.
  • If applicable, leverage Mandarin or SEA languages for internal communications.
  • Conduct research to support various business initiatives or tasks as assigned by the Client.
  • Prepare reports, presentations, or any required documentation based on research.
