The Role:
We are looking for an enthusiastic, organised and an all-round problem solver to manage the day-to-day administration of the office. You will be the face of Matrix, fostering a thriving culture by making the office a great place to work.
This role is based in the office 5 days a week.

The Office Manager will be responsible for day-to-day management of the office, health and safety compliance, streamlining processes and procedures and managing office supplies.
What You Will Be Doing:
- Oversee general office administration, acting as the primary point of contact for all inbound communications from clients, suppliers, and employees.
- Answer calls and emails, relaying accurate messages to relevant individuals.
- Process all incoming and outgoing post/deliveries, ensuring timely and accurate tracking, and delivering parcels to the correct contacts.
- Manage meeting room diaries, set up meeting rooms, order client lunches, and greet clients.
- Assist with IT issues, escalating to external support if needed, and manage phones and Microsoft Teams.
- Maintain the kitchen, communal areas, and external grounds.
- Research and organise external office social events.
- Process stationary orders, maintain stock levels, and adhere to budgets.
- Organise and maintain the post room and basement, following Health and Safety requirements.
- Arrange business travel, including hotels, taxis, and flights.
- Manage budgets for your department, track spending, and review contracts and suppliers regularly.
- Enhance office culture and environment, delivering improvements both physically and culturally.
- Conduct Health and Safety assessments, ensure a risk-free office, and manage maintenance bookings.
- Ensure a smooth new starter experience, including setting up workspaces, delivering office inductions, and tours.
- Organize and execute weekly and scheduled social events to a high standard.

- Prior office management or administrative experience - ideally 2-3 years
- Ability to work in a fast-paced team environment
- Excellent knowledge of Microsoft Office programmes and courier systems
- Excellent communication skills

- Excellent organisational and time management skills
- Confidence in making day to day decisions independently
