Job overview:
The Personal Assistant will support the Executive Assistant (EA) and C-Suite by managing key administrative tasks, allowing the EA to focus on strategic initiatives. This role will be crucial in ensuring the smooth running of day-to-day operations, including calendar and email management, expense handling, event coordination, and project assistance. The ideal candidate will be highly organised, detail-oriented, and capable of managing multiple tasks with professionalism and efficiency.
What will you be doing?
Calendar and Email Management:
- Coordinate and manage the daily schedules of the CEO and CRO: ensuring meetings, calls, and appointments are prioritised and scheduled effectively.
- Handle meeting requests: from both internal teams and external contacts, ensuring proper coordination and follow-up.
- Resolve calendar conflicts proactively: ensuring that high-priority meetings are appropriately scheduled.
- Inbox Filtering: Manage and filter multiple inboxes, ensuring important emails are flagged, and junk removed, sorting into relevant categories and other tasks where necessary.
Project Assistant:
- Project Tracking: Assisting in the management of small projects, helping track deadlines and deliverables.
- Follow-Ups: Monitoring project milestones and following up on action items to ensure progress.
- Collaborating with Teams: Supporting cross-departmental collaboration by ensuring proper communication and information flow.
Expense Management and travel coordination:
- Inputting Expenses: Enter and process expenses
- Expenses Approvals: Handle approvals of flagged expenses. This will include undergoing training on company policies and ensuring they are up to date in the system.
- Travel Bookings: Organising travel arrangements, including flights, hotels, and transportation, including team travel where needed.
- Travel Itineraries: Preparing and distributing detailed travel itineraries.
General Administrative Support:
- Provide general research, administrative tasks, and ad-hoc support for the EA and C-Suite as needed.
- Prepare the internal weekly summary email following the weekly all hands call
