Job Title: Business Support Assistant

Reporting to: Executive Assistant to the Creative Director

Location: Hammersmith - Head Office


Role Overview:

Working within a fast-paced luxury fashion company, this role supports the Executive Assistant (EA) to the Creative Director, providing crucial business support to ensure the smooth operation of the Creative Director’s office. The ideal candidate will possess excellent organisational skills, attention to detail, and superior written and verbal communication abilities. They must be proactive, solution-oriented, and able to exercise good judgement in a variety of situations. The ability to work well under pressure is essential.


Responsibilities:

  • Administrative Support: Assist in managing an active calendar of appointments for the EA and Creative Director; help with expense reports; draft and prepare correspondence, often of a confidential nature; arrange complex travel plans, itineraries, and agendas; compile documents for meetings and travel.
  • Information Flow Management: Work closely with the EA to ensure the Creative Director is well informed of upcoming commitments and responsibilities, following up appropriately.
  • Meeting Coordination: Assist in coordinating the agenda for meetings, whether onsite or off-site; take minutes and follow up on action items as needed.
  • Special Projects: Support the EA in managing special projects, ensuring timely execution and alignment with business goals.
  • Report and Presentation Preparation: Assist in preparing reports, presentations, and briefs for the Creative Director as needed.
  • Client and Stakeholder Liaison: Liaise with clients, investors, and key stakeholders on behalf of the Creative Director, maintaining professional and diplomatic communications.
  • Event Coordination: Help coordinate and organise events, conferences, and meetings, both internal and external, ensuring all logistical aspects are covered.
  • Personal Administrative Tasks: Support the EA in managing personal administrative tasks for the Creative Director as required.
  • System and Procedure Development: Assist in developing and implementing efficient systems and procedures to enhance the operational effectiveness of the Creative Director’s office.
  • Filing and Database Management: Maintain a comprehensive filing system and contact database.
  • Workspace Organisation: Ensure the Creative Director’s workspace is organised and conducive to productivity.
  • Ad-Hoc Travel: Occasional business travel across the UK & Europe may be required.

  • Presentation: Exceptionally well presented.
  • Communication: Expert level written and verbal communication skills, including proficiency in document creation, letter writing, and slide presentations.
  • Problem-Solving: Demonstrates proactive approaches to problem-solving with strong decision-making capability.
  • Independence and Teamwork: Effective both independently and as a team player.
  • Discretion: Proven ability to handle confidential information with discretion and be adaptable to various competing demands.

  • Technical Skills: Advanced skills in all Microsoft Office packages (Outlook, Word, Excel, and PowerPoint).
  • Business Mindset: Ability to understand business priorities and demonstrate a strong business mindset.
  • Project Management: Strong project management skills to oversee and manage various initiatives effectively.
  • Diplomacy: Diplomatic in interactions, ensuring confidentiality and tact in all communications.

The Business Support Assistant will play a pivotal role in ensuring the smooth operation of the Creative Director’s office and contribute to the overall success of the company.
