General Administration:


  • Manage and coordinate facilities and office operations to ensure efficiency.
  • Serve as the primary point of contact for building management and landlord.
  • Negotiate and oversee facility maintenance contracts, including cleaning, repairs, and office access.
  • Negotiate corporate rates with hotels and maintain relationships.
  • Procure office supplies and staff refreshments.
  • Fulfill duties as Fire Marshal and ensure fire safety compliance.


Expenses Management:


  • Oversee and maintain the Expense Management System (Certify).
  • Process expenses and reconcile management and company credit cards.
  • Ensure all office expenditures over £100 are authorized according to company policy.


Equipment Management:


  • Maintain office supplies and non-IT equipment.
  • Procure necessary equipment as needed.


Travel Arrangements:


  • Coordinate travel and accommodations for non-fee earning staff in compliance with company policy.


Compliance:


  • Prepare quarterly gift and entertainment reports for FCA compliance.
  • Administer compliance forms for single expenses over £1k for management approval and recording.


Management Support:


  • Assist with correspondence and provide administrative support to directors.
  • Manage events as needed.
  • Administer distribution lists for company documents.


Finance Support:


  • Serve as a point of contact for Barclays and Revolute.
  • Stand in for company London payments as necessary.
