This is a brand new role, supporting the Office Manager in a fast paced and exciting environment. The role would suit an experienced office assistant or senior receptionist looking to step into a leadership role within the office management department. The Office Administrator/Assistant will provide stability and support to the day-to-day operations, allowing the Office Manager to focus on strategic tasks.


The day to day:


Reception Management:

  • Oversee the reception desk during working hours.
  • Coordinate with runners to cover reception from 8:30 AM – 9:00 AM and 5:30 PM until close, as well as during lunch breaks.
  • New joiner's paperwork (RTW check and equipment sign-out forms) ensure this is completed and loaded onto the relevant systems.
  • Company Asset log management – Log all laptops and equipment given out and swapped.
  • Meeting room bookings


Financial Oversight:

  • Sole user and reconciler of Office Manager company credit card purchases (after OM approval) - maintaining meticulous records.
  • Reconcile and create runner floats for Office Manager approval.


Email Management:

  • Efficiently manage the office inbox, ensuring prompt and effective responses to all emails.


Task Allocation & Team Coordination:

  • Keep runners on task and delegate new tasks as they come in.
  • Ensure smooth workflow.


Work Experience Coordination:

  • Engage and provide a variety of tasks for work experience participants during their week(s) onsite.


Feedback & Reporting:

  • Report concerns, queries, commendations, and potential process issues to the Office Manager.


Training:

  • Train new runners on processes and procedures.


Health & Safety:

  • Act as the lead fire warden and first aider on site.


Additionally you will have regular check-ins with the Office Manager and the opportunity to learn about office management and attend training courses.


Candidate Requirements:

  • Strong previous office or reception experience (admin experience essential).
  • Keen interest in stepping into a leadership role.
  • Excellent organisational and communication skills.
  • Highly organised and process-driven.
