The Role:

As the Guest Relations Manager, you will be responsible for ensuring that our guests receive unparalleled service and memorable experiences throughout the event lifecycle. From the moment they express interest, through sign up, before taking a trip with us, on events, and beyond the post-event wrap-up, you’ll ensure every interaction reflects our commitment to luxury and excellence. This role requires a blend of organisational skills, a natural talent for relationship building, and excellent interpersonal skills. Reporting to the Head of Operations and working closely with the Head of Events, you will be the first point of contact for our guests and contribute to both creating and enhancing a seamless and bespoke experience for our guests.



Responsibilities: Including but not limited to

  • Assist the sales team in handling and converting enquiries into confirmed bookings, including the sale of hospitality assets such as yacht cabins and Monaco GP passes.


  • Manage the client onboarding process including contracts, invoicing, and capturing essential guest information such as dietary requirements. As part of this you should understand guest preferences and expectations in order to tailor experiences that exceed their expectations and to help ensure smooth event delivery.


  • Develop your knowledge of luxury and adventure travel and event offerings, and keep up to date with new openings for restaurants, hotels, and event venues to enhance guest experience. Collaborate with the Head of Operations to design and sell luxury travel packages to enhance guest experiences


  • Understand all confirmed accommodation options, log and manage guest requests, and ensure accurate invoicing to maximise profitability.


  • Coordinate guest supercar rentals and car transport logistics.


  • Oversee the preparation and delivery of guest materials, including Christmas gifting.


  • Handle hotel rooming lists, assist with table plans, and ensure seamless guest experiences during events in collaboration with the Head of Events.


  • Respond to guest enquiries throughout the event (e.g., reservations, hair appointments) and manage these efficiently via internal systems and external support.


  • Engage with guests in person, on the phone, and over email to ensure continuous satisfaction and an exceptional experience, addressing any issues as they arise.


  • Prepare financial forecasts, provide regular reporting, and reconcile budgets post-event for all areas for which you are responsible.


  • Maintain records of guest interest for future events and nurture relationships during quieter periods.


  • Support marketing efforts and engage with luxury travel industry contacts to promote future events and early-bird offers during quieter periods.

Excellent communication skills are essential, alongside the ability to stay highly organised, follow structured processes, and maintain accurate records. Most importantly, we pride ourselves on delivering exceptional service, and we’re looking for someone who shares our passion for creating unforgettable guest experiences. You’ll be working in a small team so will be required to work autonomously on tasks whilst feeding into the wider event plan.

Interests in travel, sport, food and wine will enhance your ability to thrive in the role but are not essential.



Additional

  • Minimum five years experience in luxury hospitality, luxury travel, HNW lifestyle management or private members clubs, concierge or Executive Assistance.
  • Valid driving licence and confidence to drive abroad.
  • Basic computer skills (email, spreadsheets, word & G Drive)
  • Proficient on Mac
  • Willingness to travel and work abroad


Salary:

£40k - £50k subject to experience
