· Strong knowledge of project management principles and practices

Main Purpose of Role:

Responsible for supporting the events delivery team with key research, administration, project management and onsite support. Responsible for planning and delivering small projects or those without complexity. Work in accordance with mcm’s policies and procedures.

Main Responsibilities of the Role:

· Upholding our company culture by demonstrating and endorsing the company’s beliefs, values, and behaviour

· Prepare and maintain accurate project documentation including critical plans, call sheets, meeting agendas and minutes, presentation documents, production schedules and planning documentation

· Conduct venue searches, liaise with venues, visit sites, assemble costing information, and present options in an accurate and instructive way.

· Engaging and managing suppliers such as health & safety, catering, technical production, speakers, entertainment, and talent as directed

· Attending locations for events, support on site functions including registration, venue liaison, delegate movement, room/signage set up, briefing of support staff, arranging food for crew food, and handling petty cash.

· Researching registration options, managing portals, and providing management information. Overseeing registration platform build, launches, and event inbox management.

· Contribute to project plans, timelines and priorities, prepare onsite schedules for project team, clients and supplier logistics and accommodation. Ensure all H&S, crisis and contingency planning documentation is on place if you are the project lead

· Communicating confidently and building relationships with stakeholders, both internally and client side, participating in debriefs to ensure continuous improvement and development

· Raise and update project budgets and manage supplier purchase, purchase orders, expenses and reconciliation

· Print and artwork support, event stock, materials and shipping management.

· Deliver outstanding customer service in accordance with the mcm Client Servicing Protocol.

· Deliver a seamless experience for our clients, achieving target client satisfaction scores.

· Build and breakdown of events and production office set up on site

· Deliver assigned “small or less complex” projects (up to £50k) to the client’s expectations, the brief, on time and within budget with minimal supervision

· Contributing to and supporting the delivery of successful pitches and tender responses

Accountable for:

· Delivering a minimum of 4.5/5 client satisfaction score on all projects

· Maximising project profitability and achieve profit targets where you are the project lead

· Delivering all assigned projects using demonstrable and effective project management methods, on time and to budget

· Ensuring project teams are informed, effective and productive

· Ensuring all project information and tracking is up to date and accurate

· Solving project delivery challenges, proactively escalating when required

· Presenting comprehensive, high quality and detailed research and costings that meet the brief

Experience & requirements:

· Experience in a relevant industry, ideally agency

· Knowledge and understanding of project management principles

· Highly organised, approachable, having a very high attention to detail and adherence to deadlines

· Ability to communicate with clients and colleagues in a calm, professional and friendly manner.

· Highly computer literate with a proven ability to pick up and use new systems or software, ideally including experience of Microsoft Office software.

· Strong focus on customer satisfaction.

· Pro-active team member, bringing innovative ideas and a can-do attitude to the team

· Administration, liaison, and coordination experience.

· Good verbal, written and interpersonal communication skills.

· Experience using registration platforms (CrowdComms or Cvent)
