Job Summary

The Finance Assistant and Personal Assistant to the GM will provide essential support in both financial tasks and GM. This role is ideal for a motivated individual looking to build a career in finance, with opportunities for growth and development within the company. The successful candidate will assist the GM and Finance Manager in day-to-day operations, ensuring efficient management of financial activities.

Principal Accountabilities


FINANCE RESPONSIBILITIES


Accounts Payable and Receivable:

  • Process invoices, payments, and receipts accurately and timely.
  • Reconcile supplier statements and resolve discrepancies.
  • Assist in managing the aged debtors and creditors.

Bank Reconciliation:

  • Perform daily and monthly bank reconciliations.
  • Investigate and resolve any discrepancies on time.

Financial Reporting:

  • Assist in the preparation of monthly management accounts.
  • Support the Finance Manager in the preparation of financial reports and statements.

Data Entry and Record Keeping:

  • Maintain accurate and up-to-date financial records.
  • Ensure all financial data is entered into the accounting system correctly.

Compliance and Audit:

  • Support internal and external audit processes.
  • Ensure compliance with relevant financial regulations.


PERSONAL ASSISTANT RESPONSIBILITIES


  • Manage the GM's calendar, scheduling meetings and appointments.
  • Assist in organising meetings, preparing agendas, and taking minutes.
  • Handle travel arrangements and logistics for the GM.
  • Perform general administrative tasks, including filing, data entry, and office organisation.
  • Act as a point of contact for internal and external communications.
  • Assist in coordinating events and meetings.
  • Conduct basic research and provide information as requested by the GM.


Key Experience and Skills

Qualification and Experience

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (or working towards completion).
  • AAT qualification or similar would be an advantage.
  • Basic understanding of financial principles and accounting practices.
  • 1-2 years of experience in a finance or accounting role.


Skill Sets

  • Strong ability to create curriculum, training modules and presentations for delivery by sales team using computers and productivity software.
  • Proficient in Microsoft Office, particularly Excel.
  • Familiarity with accounting software (e.g., SAP FI Module, SAP Concur) is desirable.
  • Strong numerical skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Strong organizational and time management skills.
