Contract Manager

SUMMARY RESPONSIBILITIES & DUTIES


You will be responsible for the day-to-day management of mechanical and electrical planned and reactive maintenance services, cleaning and security services. This is a key managerial role to ensure a safe, comfortable and energy efficient workspace. You will ensure full statutory compliance for the site including appropriate record keeping.


The management of project works will also form a key part of your role, achieving best value through a robust procurement process and commercial agreements. You will also be involved in life cycle planning and the preparation of budgets.


This is hands on position where you will take a proactive role managing work tasks including permits to work, inductions, risk and methods statements as well as site audits.


Contract Manager

SPECIFIC DUTIES OF THE POST

  1. Proactively maintain the site, the facilities, and the infrastructure to keep the site operational and instinctively minimise the impact on the environment through utilising sustainable solutions.
  2. Lead and manage the FM team and contractors on site for the daily maintenance of the site facilities and Infrastructure.
  3. Ensure that agreed contract service delivery SLA’s, KPI’s and QHS&E compliance targets are met.
  4. Identify, quote and manage project works required on site, liaising with relevant departments.
  5. Manage site inductions and permits to work.
  6. Produce critical spares lists and maintain a site risk register.
  7. Proactive communication with the client and provide contract performance reports on a monthly basis.
  8. To work with the client to develop continuous improvement objectives through positive collaboration.
  9. Provide the client with technical expertise and promote initiatives that will add value.
  10. Plan for future development in line with strategic business objectives; Assist in the preparation of 3 to 5 year plans for the development of the site, based upon business and organisational needs.
  11. Ensure that engineer’s tool-box talks are completed on time and all documentation and reports submitted to the QHSE manager.
  12. Manage sub-contractors, and other staff to deliver the required services on the site in accordance with contract requirements.
  13. Ensure contracts are renewed on time, placing orders for sub-contractors, issuing contract variation orders, reviewing and authorising 52 week planners.
  14. Estimate and produce written quotations for remedial and additional works for assigned contracts and manage the successful implementation.
  15. Arrange out-of-hours works (both PPM and additional works) ensuring resourcing, site access, access equipment, materials and tools have been arranged and ensure effective client communication.
  16. Conduct site patrols and formal audits to identify areas that need attention.
  17. Ensure that facilities are maintained to a high standard to meet all statutory and regulatory requirements with the minimum disruption to core business.
  18. Ensure the building meets health and safety requirements and that facilities comply with legislation.
  19. Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement.
  20. Maintain records within the system.
  21. Full financial and budget control of all utility's and subcontractor spend including materials and consumables to an agreed budget. This will be presented to the client on a monthly/ quarterly basis for review.
  22. Produce and deliver monthly contract report to regional manager showing full operational and financial control of the day-to-day running of the contract in line with the contractual requirements.


QUALITY / HEALTH & SAFETY & ENVIRONMENTAL (QHSE)

  1. Ensure compliance with legislative and company health and safety requirements
  2. Ensure compliance with legislative and company environmental policies
  3. Contribute to a safe working environment
  4. Adhere to applicable risk assessments and the control measures detailed within.
  5. Produce and review risk assessments and method statements for all contract activities.
  6. Report accidents and near misses, H&S issues, complaints and incidents to line manager and assist in resolving these issues.


KEY PERFORMANCE INDICATORS:

  3. Developing an effective and successful relationship with the client.
  4. Achieving contract KPI’s
  5. Effective management and financial control of project works.
  6. Availability of service records .


SKILLS, QUALIFICATIONS, AND EXPERIENCE REQUIRED:

  1. Minimum 3 years management experience within hard FM sector
  2. Experience of managing and overseeing contractors.
  3. Trade or professional qualification in building services.
  4. The ability to work under pressure and to deadlines.
  5. Good communication skills, both written and oral.
  6. The ability to build collaborative working relationships with clients and colleagues.
  7. The ability to multi-task and be methodical.
  8. Experience with SFG20
  9. A valid UK driving licence.
  10. IOSH safety qualification or similar.
