Special Events Manager (Ascot until May 2025 then Richmond, Surrey)


Job:

To plan, manage, and execute high-quality events that enhance Vorwerk UK and Ireland's brand presence, drive engagement, and support business objectives. The Special Events Manager will oversee all aspects of event planning, including logistics, budgeting, and vendor coordination, ensuring seamless delivery and impactful experiences.


This role is key in creating unforgettable moments for all levels of the sales force in the areas of business meetings, conferences, incentive trips and other activities. It is vital to be in coordination with Sales and Marketing teams in expanding market reach through targeted event strategies.

Event Planning and Strategy in coordination with Advisor Marketing Team and Sales Team

o Develop and implement a strategic event plan that aligns with Vorwerk UK's marketing and business goals.

o Identify event objectives, key messages, target audiences, and success metrics for each event.

o Research and propose innovative event formats, themes, and venues to enhance brand image and engagement.

· Budget Management:

o Prepare, monitor, and manage event budgets with relevant department owning the event. ( ie; Marketing or Sales), ensuring all activities remain within financial limits.

o Negotiate with vendors, venues, and suppliers to secure cost-effective rates and optimize the event budget.

· Vendor and Stakeholder Coordination:

o Liaise with vendors, suppliers, and internal stakeholders to coordinate all logistics, including catering, AV, decor, and transportation.

o Develop and maintain strong relationships with external partners to ensure a high standard of service.

· Travel and Site Visits:

o Conduct regular site visits and travel as needed to evaluate potential venues, coordinate with vendors, and oversee event setups to ensure alignment with Vorwerk’s standards and vision.

· Project Management

o Oversee the end-to-end event management process, including timelines, deadlines, and deliverables.

o Conduct regular status meetings with the team to track progress and address potential challenges proactively.

· Promotion and Communication:

o Collaborate with the marketing team to create event promotional materials and campaigns across digital channels.

o Develop event communications plans to ensure effective information flow to internal stakeholders, participants, and customers.

· On-Site Event Management:

o Serve as the primary point of contact during events, overseeing all setup, execution, and breakdown activities.

o Troubleshoot any issues on-site to ensure a seamless event experience for attendees.

· Performance Analysis and Reporting:

o Collect and analyze feedback and performance metrics post-event to measure success and inform future event strategies.

o Prepare detailed post-event reports, including insights, recommendations, and a review of objectives and key outcomes.

· Compliance and Risk Management:

o Ensure all events comply with health and safety regulations, risk management policies, and company standards.

o Anticipate and address potential risks, implementing contingency plans as needed to safeguard participants and reputation.


Know-How, Technical Skills

· Strong understanding of end-to-end event management, including planning, budgeting, logistics, and on-site coordination.

· Excellent organizational, project management, and problem-solving skills to handle complex events.

· Strong communication skills to liaise with vendors, stakeholders, and teams.

· Highly proactive, self-motivated, and willing to take ownership of projects from start to finish.

· Proven track record in managing high-profile events, ideally within the consumer goods, service or lifestyle industry.

· Experience in handling budgets, vendor negotiations, and post-event analysis.

· Previous roles requiring a customer-focused approach to creating engaging and impactful experiences.

· Ability to manage work schedules and deadlines with responsibility for delivering projects on time

Experience/requirements

· Degree or equivalent in Management, Marketing, Hospitality, or a related field.

· Experience working with cross-functional teams and managing relationships with external vendors and partners.

· Experience in event management, ideally within the consumer goods, lifestyle, or premium brand industries

is a plus.

· Experience or working in MICE (meetings, incentives, conferences and events) is a plus.

· Flexibility required, regular travel UK, Europe and International.

· Hybrid working, role based in Ascot office until May 2025, then in central Richmond, Surrey.
