We work with a broad range of clients, from top 10 pharma through to small start-up organisations on a diverse range of business-critical projects, market access training and product launches.
**Job Purpose**
We are seeking a highly skilled and professional Executive Assistant to provide comprehensive support to our senior team. The Executive Assistant will play a pivotal role in ensuring the smooth functioning of our organisation by efficiently managing administrative tasks, coordinating schedules, diary management and handling confidential information with utmost discretion.
This is an exciting opportunity to contribute to the success of a dynamic company and work closely with the senior team.
The role requires the ability to work well as part of a team but also be self-motivated to complete the tasks independently, using your own initiative where appropriate
**Key responsibilities**
**Diary Management**:Maintain and coordinate complex executive schedules, including arranging meetings, appointments, and travel arrangements. Anticipate schedule conflicts and proactively resolve them to optimise the executives' time.
**Travel and Logistics**:Support with full logístical and administrative support for the project teams; including air, rail and taxi travel, accommodation and restaurant reservations when required. Prepare travel itineraries, expense reports, and ensure timely reimbursements.
**Meeting Coordination**: Schedule and organise executive-level meetings, both internal and external, including logistics, agenda preparation, and materials distribution. Record meeting minutes and follow up on action items.
**Confidentiality and Data Security**: Handle sensitive and confidential information with the highest level of discretion. Ensure that appropriate security measures are in place for the storage and handling of sensitive documents and data. Managing and maintaining data storage and data management systems in accordance with data protection and GDPR guidelines.
**Special Projects**: Assist with ad-hoc projects and assignments, ranging from event planning and coordination, to process improvement initiatives, taking ownership of assigned projects and ensure timely completion.
**General Office Administration**:General administrative tasks to ensure the smooth running of the office, including tracking and reporting of team holidays and sickness and purchasing of office equipment and stationery.
