**Office Operations Administrator**
**Reporting to**:Office Operations Manager
**Overview of the role**:
Support the Office Operations Manager across the team of 120+ with the following:
**Administration Duties**:
- Create new opportunities and quotes in internal and external systems.
- Converting won opportunities to contracts/closing lost opportunities.
- Amending opportunities and contracts based on COR forms received.
- Ensuring all projects are set-up with the correct financial dimensions based on the business unit and region for x-sells and external consultants.
- Document formatting and branding so in-line with company templates and brand guidelines.
- When supporting the region with all admin requests maintain compliance across contracts, forms, correspondence, reports, trackers, following corporate branding, policies and procedures.
- Arrange printing, binding and couriers, where necessary.
- Book travel, hotels and car hire where necessary through travel management company complying with financial levels of authority across offices.
- Organise PPE and stationery for wider team.
**BID Support**:
- BID support for NWNI Partners on BID’s under £100k, maintenance of client portals with documentation required.
- Maintenance of BID documentation, latest versions of CV’s, case studies and any other documentation needed for BID submissions.
**Front of House Duties (rota basis)**:
- Support Office Operations Assistant with H&S inductions including ensuring all visitors and staff sign in/out and read and understand evacuation procedures.
- All telephone calls to be answered within 3 rings, adhering to RLB’s customer service excellence principles with every call.
- Greet all visitors in line with RLB customer service excellence principles and maintain impeccable reception area always, removing any deliveries immediately out of sight.
- Maintain efficient running/operation of office front of house.
- Assist with office events, ensuring all requirements are understood, planned and managed to aid successful outcomes.
- Manage meeting room bookings and in-house refreshments; proactively deal with potential conflicts and offer practical solutions, keeping all stakeholders involved.
- Monitor and supply consumables and refreshments for all meeting rooms, allow for clearing between meetings.
**Person Specification**:
- Must have previous Front of House and Administration experience in supporting Senior Leaders - preferably within I.T and Support.
- Ability to use own initiative.
- Able to stay professional and calm under pressure, assertive, confident to communicate at a range of levels both internally and externally.
- Highly organised and a team player.
- Proactive and resilient, adaptable to quick / last minute changes in diary, flexible, persistent, and focused with the ability to think logically using own initiative.
- Good attention to detail and strong organisational skills. Must maintain a high level of confidentiality at all times.
- Ability to prioritise workloads, work under pressure and meet tight deadlines.
- Creating and maintaining good relationships with other Executive Assistant’s and colleagues within the business.
- Proficiency with MS Office and Teams.
