We are recruiting for an experienced **HR Administrator**, on a permanent, part time basis. 27.5 hours per week over 5 days.
The role will be predominately based at our Lilliput Surgery, Poole, however you may be required to attend other sites for meetings.
Working alongside the HR/Operations Director & HR Administrator, this is a busy, varied and hands on role. You will join the organisation at an incredibly busy time and be required to support the HR & Operations Director and the Board of Partners and Directors with a variety of responsibilities.
As a HR Administrator, your responsibilities will include (but not limited to):
- Enter new roles onto NHS Jobs and Indeed
- Provide administrative support for the full recruitment process, including liaising with job applicants and arranging interviews on behalf of the recruiting manager.
- Assist the recruiting manager with the setup of interviews and issue relevant correspondence
- Ensure the recruitment process is followed and any concerns are raised with the HR & Operations Director.
- Coordinate HR-related documentation, such as Offer Letters, Contracts of Employment, as well as other related documentation.
- Ensure the HR management system is up to date, accurate and complies with legislation when entering or updating employee information
- Ensure New Starter paperwork is forwarded to Finance in a time sensitive manner
- Undertaking Right to Work and other pre-employment checks
- Assist with DBS checks and Right to Work and Live in the UK checks
- To ensure company polices and procedures are followed
- Ensure all staff training is up to date and compliant with legislation
- You will have a certain level of autonomy and as a result, need to be able to work independently and take accountability for own workload
- Maintain hard copy personnel records, filing and archiving.
- Provide administrative and coordination support within the Department as required.
- Ensure the HR Information System (Appogee) is updated with current data
- Support Managers and Employees in the use of Appogee
- Comply with GDPR and Compliance ensuring only the minimum of people have access to individual employee profiles
- Assist with the compilation of training guides in using Appogee
- Work with the HR Team in providing ideas to use Appogee as efficiently as possible, utilising features of benefit
- Assisting with day to day operations of the HR function and duties
- Employee onboarding process to include assisting with the process of recruitment, preparation of job descriptions, person specifications and adverts, performing reference checks and issuing employment contracts
- Assisting with the Improvement, implementing and administering of HR policies and procedures

- Assisting and attending HR meetings, taking notes as required.
Who we are looking for:
.Experience in a Busy HR Administrative or similar role
- An understanding of General Practice and how the NHS operates would be advantageous
- Educated to high standard of GCSE in Maths, English language and have excellent communication skills, spoken and written, with all levels of the business and with external contacts
- Proactive and positive in your approach to work with the ability to prioritise tasks and work with a degree of self-management
- High attention to detail and accuracy in work
- Is supportive and approachable right up to management level
- Flexible, problem solving approach and strong team player
- Is discreet and maintains confidentiality at all times
- Good IT literacy, fully conversant in use of Microsoft Office packages and a HR Management system
- To support and deliver a proactive and supportive HR service to all employees whilst driving best practice and ensuring compliance with all company policies, procedures and employment legislation.
- Adaptable to a changing workload and priorities, sometimes at short notice
- Must hold a full driving licence and have own transport due to limited public transport links, and be willing to travel to other sites in the group when the business requires
- Have tact, diplomacy and compassion in direct and indirect emotional circumstances
