**Main Purpose of Role**:

- To support the HR Manager and team with all HR administration
- To be the first point of contact for staff and managers with HR queries

**Key accountabilities**:
Administration

1. Day to day management of HR Shared inbox

2. Ensure accurate employee records are maintained

3. Respond to reference requests for current or former employees

4. Assist with meeting arrangements and notetaking for formal meetings

5. Maintaining confidentiality with sensitive information

6. Provide training certificates upon request

7. Update weekly HR / Ops reports

8. Provide accurate correspondence to staff for all stages of employment i.e., salary changes, promotions

9. Check daily on call records for any HR actions needed

10. Ensure recognition letters are recorded and sent
- Ensure absence is recorded accurately across systems

12. Ensure Employee of the Month nominations are collated, actioned and letters sent

**Employee relations**
- Ensure staff have welfare calls and are supported when on a period of absence

2. Check daily on call records for any HR actions needed

3. Provide day to day advice to line managers and staff on HR policies and Procedures, escalating more complex queries

**You Manage**

1. Be primary contact for queries relating to You Manage HR system

2. Ensure new starter accounts are activated with correct permission levels

3. Prepare reports relating to employee data

**General**

1. To undertake any training deemed as necessary to carry out the full requirements of the post.

2. To carry out any other duties that may be required appropriate to the level and nature of the post.

**Person Specification**
- Experience of working within an administration role
- Good knowledge of Microsoft Office packages
- Flexible approach to working hours
- Ability to prioritise and work under pressure
- Good communication skills

**Qualifications**

CIPD level 3, or willing to work towards this
