**The role**:
We’re looking for someone with passion and resilience, as well as the ability to thrive in a fast moving environment.
Working closely with the Chief of Staff and the Project Management Office (PMO) team, you’ll play a pivotal role in the smooth running of an extremely wide and complex business. Success will be made by partnering with the key business unit leaders to support them in their priority and time management and by picking up time consuming tasks and challenges to remove some of the noise that distracts them from their focus.
The work will be important and challenging, you'll own the scheduling and ongoing management of core business meetings, working with the Leads to develop agendas, support the development of reference materials and coordinating the delivery of matters arising from them. You will also lead the planning and delivery of major company and team wide events, both in person and virtual, so you’ll lean on diverse administration and business support experience every day.

(For the first few months you’ll need to be in the office every week to get under the skin of the business; after that 1 day every couple of weeks should be sufficient).
**Primary tasks and responsibilities**
- You will directly manage the calendars of the 3 Leads - Initially the support will focus directly on the CEO, the GM of Master of Malt and Head of Global Sales (the 3 Leads) but will also include secondary support to our People and Finance Directors.
- Monitor, report and provide suggestions for how the business Leads time is being used and execute any required amendments.
- At the guidance of the Chief of Staff (CoS) coordinate agendas and reference materials for monthly Town Halls, Company Leads meetings and Business Unit Leads meetings, monthly business reviews and quarterly strategy meetings
- Attending Board and Executive meetings, noting actions required and ensuring they are carried out
- Attend PMO meetings and feed business insights and context into these.
- Under the guidance of the CoS, update strategy documents with outcomes and updates from business activities
- Research and pull reports together and present back to respective stakeholders as required (indicatively this might be on new business tools, market trends, or sourcing service providers).
- Coordinate with legal to ensure that supplier agreements and NDA are in place as required.
- Manage key organisational events (including parties)
- Travel and expense management for Leads and support the 3 Leads in the management of their teams travel budget.
- Champion a culture of no rubbish, respect and results focus whilst still having a laugh and some fun.
- Provide feedback to the 3 Leads on their teams if/when appropriate.
