Office Administrator/receptionist

**Principal accountabilities**:
- Act as first point of contact for all enquiries and visitors to Kingsley House
- Coordinate and carry out general administration for the service
- Organise service meetings including preparing agendas and taking minutes.
- Organise filing system for key service documents as required
- Finance
- implementing and maintaining finance systems. Completing audits on financial paperwork.
- Providing information as required to the area finance teams.
- Process starter, changes and leaver administration liaising with HR colleagues as appropriate.
- Provide efficient and proactive recruitment administration support, coordinating paperwork for new starters, supporting with the interview process and ensuring relevant managers are aware of changes
- Assist with reviewing and updating Personnel files.
- L&D- Liaising with L&D team to organise training venues, trainers, staff as required, filing, maintaining and implementing of data bases
- Reception Duties o Answering phones o Ordering supplies o Completing weekly schedules for manager o Following and implementing visitors protocols o Ensuring to follow GDPR regulation. o Implementing and maintaining systems and data bases relating to service compliance. Highlighting any crucial information to the management team.
**Who you are**
We are looking for someone how has good IT skills and knows how to use Microsoft Office to a good level.
You will have excellent written and verbal communication skills with added attention to detail.
You can prove your ability to work on your own initiative and prioritise effectively to meet deadlines.
Ability to work with a wider team.
Ability to work flexibly to meet the needs of the service.
You have experience providing support to customers in an administrative role.
