This role is a part time position (22.5 hours per week) with days and hours flexible, and _**potential for hybrid working**_
- The role is offered at up to £30,000 Full Time Equivalent and is initially on a 6 months+ contract with potential to go permanent._
**Executive Assistant / PA / Project Administrator’s Core Duties**
- You will manage diaries and provide general administration support to the CEO, Chief Operating and Financial Officer and the Chief Technology Officer
- You will coordinate with key external and interna stakeholders in setting up objective led meetings. This includes Board Meetings and Executive Team meetings
- You will work closely and effectively with the Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Assist them with making travel and accommodation arrangements in line with the policies
- You will organise onsite and off-site staff events including managing logistics, agenda, and minutes
- At times you will assist with recruitment including setting up interviews and following up on paperwork
- You will champion the office and provide orientation to new staff members
- You will also assist the COFO (Chief Operating and Financial Officer) in ensuring the office is safe and comply with all health and safety requirements including coordinating DSE assessments, PAT testing and regular health and safety training for all staff
**Executive Assistant / PA / Project Administrator’s Skills Required**
- Strong organizational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners.
- Ability to manage upwards in an effective and sensitive manner.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Good working knowledge of internal systems for claiming expenses, raising purchase orders and other relevant systems.
**Executive Assistant / PA / Project Administrator’s Key Experience**
- Prior experience working as an Executive Assistant / PA / Office Administrator to CEO or senior directors.
- Experience supporting board of directors.
- Strong experience of taking notes and following up on actions
- Tech savvy, being proficient with Microsoft 365 apps such as Outlook, PowerPoint, Teams and Excel and being able to pick up on internal systems quickly.
- Experience of coordinating projects, tracking delivers and monitoring deadlines
- Working knowledge of project management methodologies such as Agile and SCRUM
- Working knowledge of the health and care landscape within the UK
