Job Summary
This role involves reception, administration, database management, managing the post and telephones, facilities management and IT in a busy accountancy office.
**Responsibilities**:
**Reception**
- To be responsible for providing a professional & welcoming service to all clients, to
- include meeting and greeting and providing refreshments where needed;
- To be responsible for answering the telephone and door promptly;
**Administration**
- To be responsible for the logging in and out of client records and arranging for their
- return with clients/couriers;
- To be responsible for taking ad-hoc client credit card payments and the banking of
- cheques;
- To be responsible for production of covering letters where requested;
- To be responsible for sending bound accounts to clients where requested;
- Sharing responsibility for the completion of additional administration tasks as
- required.
**Post**
- To open incoming post, scan and send to the appropriate personnel;
- To forward any incoming client mail to clients each day as required;
- To collect, scan, save and frank the firm’s outgoing post every day;
- To ensure all staff are aware of post procedures and that they run efficiently;
**Telephones**
- To ensure all incoming calls are answered within three rings;
- To ensure all telephone messages are passed on quickly and efficiently.
**Database**
- To be responsible, alongside the Office Manager for the smooth and efficient running
- of the databases and to ensure that the databases are kept up to date at all times.
**Stationery**
- To ensure all stationery is kept well stocked and that all deliveries are checked
- against the delivery note. To regularly check prices and obtain quotes from other
- suppliers to ensure best prices are obtained at all times. To check invoices against
- orders and ensure that prices quoted have been charged.
**Facilities**
- To ensure the kitchen is kept clean and tidy;
- To keep a check on the milk, water, coffee and tea supplies to ensure an appropriate
- level is kept at all times;
- To ensure all kitchen items are kept well stocked and to arrange the purchase of
- supplies when necessary;
- To ensure all toiletries are kept in stock;
- To liaise with the cleaners to ensure an adequate service is received;
- To be responsible for telephone equipment and to call in engineers when there is a
- fault and liaise with telephone company when new extensions are needed.
- To be responsible for the reception area and all front of house facilities including the
- opening and closing down of these areas.
**IT**
- Responsibility alongside the Office Manager for reporting any IT problems to our IT
- providers and to monitor a speedy resolution.
- General
- To make appointments for the partners when required and ensure that all
- appointments are included in the boardroom diary where necessary.
Salary Range
£28,000-£30,000
**Job Types**: Full-time, Permanent
**Salary**: £28,000.00-£30,000.00 per year
