Contract Energy Management Ltd (CEM) was established in 1993, we provide a full range of Mechanical & Electrical services to clients for properties in London and the Home Counties. Properties are either direct with the owner or via managing agents. Basically, we look after the building’s communal plant rooms (boilers etc.) that serve the apartments or offices and sometimes air conditioning plant and other services.
CEM looks after over 130 contract properties and undertakes the planned preventative maintenance and remedial works utilising their own commercial gas, auxiliary and electrical engineers, and a combination of over 20 specialist sub-contractors covering Building Management Systems (BMS), Combined Heat & Power (CHP) boilers, air conditioning, water treatment & hygiene etc.

Following a significant increase in maintenance service contracts, we are seeking an experienced Administrator to help with a variety of tasks and responsibilities to assist with the day-to-day running of this part of our business.
**Responsibilities and Duties**
The role will be varied and tasks may change to suit the requirements of the business but the main duties will be:
- Logging job requests using the web-based field management software and assigning jobs to the in-house team of engineers
- Ensuring staff rotas are maintained and updated
- Scheduling PPM (planned preventative maintenance) visits with in-house engineers and sub-contractors
- Updating clients on the progress of the works
- Reviewing and electronically filing service reports and following up on remedial actions
- Liaising with sub-contractors, providing site access details, and informing the client of the visit
- Closing down jobs when completed, allocating hours for invoice processing
- Liaising with in-house engineers for progress updates, service reports
- Ordering stationary
**Details**
The role will be based on site at our offices located in Brentford, Middlesex.
Hours of work will be 9:00 am - 5:00 pm, Monday - Friday.

**Qualifications, Skills & Experience**
- Qualified to GCSE level for English and Maths
- Computer literate (MS Outlook, Word, Excel, Teams)
- Excellent customer service skills
- Well-organised and with good time-management skills
- Excellent communicator, both written and verbal
- A positive ‘can do’ attitude and the ability to work on own initiative
- Experience of working in a busy office environment
- Knowledge of the commercial HVAC industry would be an advantage
