**As an Administrative Assistant you will be expected to work as part of an administrative team to provide support to your designated department.**

**You will also be responsible for covering the main Reception where you will be required to supply information regarding the organisation to the general public, clients and employees.**

**You will also be required to attend to visitors and deal with enquiries on the phone and face to face.**

**Responsibilities**
- Dealing with internal and external correspondence
- Word processing documents, such as letters, presentations and reports
- Using office equipment, such as printers, scanners and photocopiers
- Setting up and maintaining filing systems
- Updating information on computer databases
- Answering the telephone and directing calls
- Assisting colleagues as necessary
- Answer main telephone, screen and direct calls
- Take and relay messages
- Provide information to callers
- Greet persons entering Spencer Group
- Direct persons to the correct destination
- Deal with queries from clients
- Ensure knowledge of staff movements in and out of Spencer Group
- Receive and process mail and deliveries
- Ad hoc duties as required

- Ability to work to tight deadlines
- Ability to prioritise a varied workload
- Strong numeracy and IT skills
- Ability to stay calm under pressure
- Ability to be discreet and tactful
- Ability to be courteous but firm when dealing with difficult customers
- Efficient and well organised
- Self-motivated and able to use initiative
- Confident when using a computer and office equipment

**Qualifications**
- Good GCSE grades A-C in Maths & English (or equivalent)
- Previous demonstrable experience in Reception duties and administrative position
