**Position Overview**
**Key Responsibilities**
**Recruitment & Workforce Co-ordination**:
- Lead the recruitment process for casual staff across bars, front of house and track staff departments
- Develop and maintain our existing and robust pool of reliable casual workers
- Conduct interviews and onboarding processes
- Maintain a comprehensive staff database
- Implement effective retention strategies for quality casual staff
**Rota Planning & Scheduling**:
- Create detailed staffing rotas for all race meetings and special events
- Coordinate staffing requirements across bars, front of house and track staff departments
- Manage staff allocation based on event size, weather conditions, and anticipated attendance
- Ensure appropriate skill matching for specialised roles
- Maintain contingency plans for last-minute staffing changes
**Operational Excellence**:
- Oversee pre-raceday briefings and staff deployment
- Monitor staffing levels throughout race meetings
- Coordinate with department heads to ensure optimal service delivery
- Handle real-time staffing adjustments and emergency cover arrangements
- Conduct post-event debriefs and performance evaluations
**Communication & Administration**:
- Serve as point of contact for casual staff queries and concerns
- Maintain professional relationships with external recruitment agencies
- Ensure compliance
**Working Pattern**:
- **Racing Season**: March to October annually
- **Pre-season preparation**: Recruitment and training activities commence in February
- **Core commitment**: 2 days of preparation plus raceday (typically 3 days per race meeting)
- **Seasonal variations**: Peak activity during racing season with reduced requirements during winter months
- **Remote work capability**: Administrative tasks can be completed from home when not on-site
**Essential Requirements**:
- Experience in staffing co-ordination, preferably within events, hospitality, or sports industries
- Good recruitment and interviewing skills
- Excellent organisational abilities with attention to detail
- Proficiency in workforce planning and rota management
- Good communication skills, both written and verbal
- Ability to work under pressure and make quick decisions
- Flexible approach to working hours, including weekends and evenings
- Competent IT skills, including Microsoft Office (predominantly Excel)
**Desirable Qualifications**:
- Previous experience in the events and leisure industry
- Awareness of employment law and HR best practice
- Understanding of hospitality and customer service standards
