TYPIST/ADMINISTRATIVE ASSISTANT FOR THE DEPARTMENT OF TRAUMA & ORTHOPAEDICS
Full time 37.5 hrs - [Permanent]
We are looking for a Typist/Administrative Assistant to join our small administrative team in this busy, friendly department.
We are looking for an energetic and enthusiastic person with a mature, responsible and flexible outlook. Previous admin experience is essential. You will have a caring and courteous manner and enjoy working with and meeting people. You will also be able to work unsupervised and display initiative, whilst being aware of team membership.
You will be responsible for supporting the department with all administrative tasks, ensuring that all correspondence, administrative letters is dealt with in a timely manner and distributed accordingly and answering telephone enquiries.
1. Provide comprehensive administrative, clerical and audio typing support to Consultants and their teams.
1. Work in a team based secretarial service providing support for each other and ensuring continuity of the service.
1. Audio type all clinical letters and other correspondence as required by the Consultant and team, ensuring layout, spelling, grammar and punctuation is consistent.
1. Assess all enquiries, deal with effectively and respond appropriately.
1. Maintain a filing system that facilitates the effective running of the department.
1. Attend meetings as requested.
1. Organise own work schedule, adapt the schedule as required to meet commitments to others within the agreed timescales and, where this is not achievable, give notification promptly with reasons to Line Manager.
1. Provide support to other members of the secretarial team and cross-cover during periods of annual or sick leave as required.
1. Opening of post, prioritizing and passing on as appropriately.
1. File investigation results in appropriate health records and draw initiating doctor’s attention to all incoming results.
1. Manage patient records appropriately, ensuring an up to date record is maintained of all case notes returned from the wards and clinics and all case notes dispatched to other departments or hospitals. Ensure case notes are returned to the Medical Records Department at the earliest opportunity.

This will be done by the Line Manager in consultation with the post holder.
The post holder will maintain patient confidentiality at all times, will recognize and adhere to the Trust’s Standing Orders and standing financial instructions, will be responsible for accurate computer data entry and data quality and will carry out their duties with regard to accepted standards of professional practice.
