Artistic Administrator

We are looking for an experienced administrator to work collaboratively and effectively as part of the Artistic Administration team who provide exceptional administrative support to the Artistic Departments at the RSC. This role specifically supports the Producers and Planning Teams and works closely with our Creative Programme Developer (Access and Inclusion).
This is an incredibly varied and exciting role, which requires you to be close to and hands-on in supporting a diverse range of activity in our Artistic Departments. If you have some experience of working in theatre, then this is beneficial but not essential, what is essential is that you have superb administration skills. No two days are the same in this role, one day you might be drafting contracts and arranging international travel for freelance artists and the next, providing support on RSC touch tours, communicating with BSL interpreters and being present at our Assisted Performances in the Royal Shakespeare Theatre to welcome audiences.
This position is offered as a full time, 12-month fixed term contract with the possibility of remote and flexible working. The base of work is Stratford-upon-Avon, and there will be occasional travel to other offices and UK partner theatres.
In this role you will report to the Planning Manager, where some of your duties and responsibilities (please see the job description for full details) will include:
- Supporting with the contracting of freelance artists during production rehearsal periods and providing administrative support
- Uploading day to day performance schedules into the RSC's space management system,
- Supporting with the recruitment of Assistant Directors to productions, projects and seasons
- Supporting with contracting freelance Audio Describers, Captioners and BSL interpreters
- Assisting and supporting in the co-ordination of all assisted performances and related events and workshops, including familiarisation visits and welcoming our assisted performance audiences into the theatre
- Supporting the coordination of freelance creative team accommodation in Stratford-upon-Avon, London and on tour, arranging travel (UK and international), visas, accommodation, tickets and meetings
- Providing administrative support for the Producers team, including scheduling, contracts, research and development, workshops and visits
- Supporting the management of press, opening and guest nights including putting together guest lists, liaising with Box Office, Development and Communications teams to manage the list
- Arranging a wide variety of meetings, coordinating complex diaries, producing meeting agendas and managing departmental inboxes and calendars
- Processing and reconciling expense claims, credit card statements and external invoices
- Developing, managing and maintaining effective departmental administrative, database and filing systems
To be suitable for this role, you must be/have:
- Self-motivated with significant experience of providing a high quality, responsive administrative service within a busy and fast-paced environment.
- An organised approach to work, effective prioritising skills, the ability to meet deadlines, alongside an exceptional eye for detail.
- The ability to act with integrity, tact and patience, observing confidentiality at all times.
- A solution driven approach to all work tasks and able to problem solve.
- Computer literate with MS-Office packages.
- The ability to work independently and as part of a busy, hardworking, and cohesive team.
- A broad appreciation and understanding of theatre making and the production process.
You will be working 35 hours per week, Monday to Friday, with the understanding that additional hours (including occasional weekend and evening work to reflect working in the arts and culture sector) may be required to fulfil the responsibilities of the role.
