**Job Description Summary**: We have an exciting opportunity in GE Healthcare Pharmaceutical Diagnostics Integrated Supply Chain for a global Administrator. This newly created role supports several function leaders across our global Supply Chain team in areas such as Scheduling & calendar management, travel planning & expense reporting and correspondence & communications management. We are looking for a professional, confident, enthusiastic team player with a ‘can do’ attitude. You will play a key role in our administrative team, helping us to build a world class Supply Chain and progress on our journey from Good to Great.
**Responsibilities**:
- Extensive Calendar Management, booking travel, arranging visas, taxi’s and preparing travel itineraries
- Inbox management for the Function Leaders, assisting with workflow and prioritization, adhering to deadlines
- Process expenses in line with company policy
- Manage multiple priorities and provide ad-hoc project support
- Provide Event logístical support for internal and external meetings / offsites
- Prepare and share internal communication campaigns to recognize success and foster an environment of belonging
- Establish and develop strong relationships with the administrative staff and global functions to facilitate exchanges
- Provide discreet and confidential coordination of sensitive business information
- Prepare presentation materials, produce reports, and maintain files/documents
**Qualifications and experience**:
Alongside experience in a similar role and excellent communication skills, you should be confident demonstrating the following:
- You have proven experience in assisting global leaders and working with diverse teams
- You are digital savvy and can master Microsoft Office tools including Outlook, Teams, PowerPoint, and Excel. Knowledge of Smartsheet is desirable but not essential.
- A high degree of self-management organisational skills, and an excellent communicator (English oral and written). Spanish is desirable but not essential.
- Excellent attention to detail including spelling, grammar, and formatting to ensure quality and accuracy of all outputs
- Experience of managing a busy workload, including complex and competing priorities whilst remaining organized and professional, working to deadlines, and sometimes delivering under pressure
- Knowledge and/or interest in LEAN methods and standard work, always working from a LEAN mindset. Proactively driving continuous improvement whilst demonstrating a behaviour of thinking ahead of the curve
- Capable of fostering close working relationships
- Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information
This role reports into the EA for Global Integrated Supply Chain Leader. We are happy to consider flexible working options, you will need to be based in Europe to support leaders on CET and BST time zones.
GE Healthcare European Sites: Amersham (UK), Braunschweig (Germany), Cork (Ireland), Eindhoven (Netherlands), Lindesnes and Oslo (Norway).
