**The Role**

Provide a confidential, smooth, professional, and effective support service to the Project team, to ensure the achievement of all operational and strategic objectives and the successful delivery of the transition project.

You will work closely with the Project & Reception Teams to provide administrative support, helping them to make the best use of their time by dealing with administrative and project tasks using your skills & knowledge of the organisation, knowing who key personnel are (both external and internal) and using your understanding of Enham Trust’s aims and objectives.

You will be working alongside the Programme Manager and workstream leads on key project activities relating to the needs of the Programme. Where required, you will also work with the Director of Care to provide oversight of the Transition Project.

**As our Project Coordinator, you will**:

- Organise appointments for the Programme Manager, Project Officer, Registered Manager & Senior Care Staff to ensure efficient diary management.
- Organise internal and external meetings; booking rooms / venues, arranging transport, and organising facilities as required.
- Assistance in the drafting, updating and circulation of communications with stakeholders, both internally and externally.
- Support the Project team & senior managers on a one-to-one basis, undertaking administrative and project tasks, working independently as required. Make decisions in their interest where appropriate.
- Assist in developing and maintaining the project library, filing, recording, and reporting systems.
- Production of documents and reports on behalf of and with support from the Project Team.
- Act confidently and with sustained effectiveness when faced with changing priorities.
- Support managers to ensure communication avenues are open (answer phones / create newsletters for example) this will include supporting the reception team with answering and directing calls and helping visitors at the reception desk.
- Assist in the preparation and circulation of agendas and action lists for relevant meetings.
- Take notes and prepare minutes across internal & external various meetings.
- Devise and maintain office systems including data / tracker management. Support as required on specific work streams and tasks as directed by Project Team.
- Review and support the update of policies and working practices within the new Enham Living Service.

**Quality**
- Maintain effective communication with the team to ensure that tasks are prioritised and resourced effectively.
- Advise the team in a timely manner of all queries and issues with the Enham Living Transition Programme that you cannot resolve yourself.
- Ensure all equality and health & safety policies are implemented correctly and ensure activities managed by you comply with health and safety requirements.
- Keep up to date with relevant legislation, including GDPR.
- Support consistency of approach to data management across the transition programme.

- Trackers & reports remain up to date and carry the relevant information.
- Demonstrate commitment to self-development and continuous improvement.
- Strategy - support Project Team to achieve their objectives
- Collaborate and engage with other functions and initiatives across the Trust.
- Attend and prepare for meetings and events, and write reports as required.

- Keep abreast of best practice as it applies to the operations and take responsibility for own personal development.
- Adhere to Trust policies and procedures and ensure that these are understood and adhered to throughout the services.
- Willingly engage with any other duties and responsibilities that may be required from time to time.
- Attend statutory and mandatory training as required by Enham Trust.
- Maintain a high standard of personal development.
- Participate in and contribute to 1-2-1 meetings with line manager.
