Here at Mid and South Essex NHS Foundation Trust we are looking for a Womens Health Clerk to be responsible for the clerical activities which support the efficient functioning of the Maternity Service. We have high standards of professional behavior that you will be expected to maintain. Good communication and team working skills are essential to this position. You will be front of house, working in a very busy outpatient reception area. Dealing with patients face to face and over the telephone.

- English GCSE, NVQ3 or equivalent level of relevant experience

- Previous experience of data entry

- Maintain ward list throughout shift and update Medway Database as necessary.
- Confirm patient demographics are correct and update Medway Database if required.
- Ensure that Birth Notifications and Discharge Summaries are sent to Child Health in a timely manner.
- Ensure all VTE’s have been completed and entered on Medway.
- Check postnatal discharge summaries have been entered onto Maternity Medway system and ensure that all documentation is distributed to the relevant agencies.
- Update and enter information on to CareFlow as required.
- Collate daily/weekly Maternity Service statistics.
- Ensure that MAD book is updated at the end of each shift
- Prepare maternity notes for coding and ensure they are sent in a timely manner.
- Prepare Maternity notes for all areas.
- To photocopy any information or documents requested by midwifery staff. This may include the photocopying of notes for appointments or transfer of women to other hospitals. 12. To liaise with the relevant people regarding any amendments to maternity data.
- To prepare stationary requisition and arrange collection and storage.
- To enter ward activity (e.g. ward attendees) on the Medway computer system as required.
- Ensure maternity records are up to date and if necessary close the pregnancy on the maternity system.
- Any other duties relevant to the post.
- To maintain good communications and relationship with women, their families and members of the multidisciplinary team, in consultation with the Ward Manager/Midwife in Charge.
- To answer the telephone correctly by adhering to the Trusts telephone procedure.
- To ensure all information is written legibly.
- To accurately communicate messages to the appropriate person e.g. Midwife in Charge or Ward Manager and midwives (community, ward-based).
- To ensure the electronic ward bed states are up to date and correct on a daily basis.
- To liaise with other wards and departments as and when necessary.
- To report all accidents/incidents which occur to women or visitors immediately to the Midwife in Charge or Ward Manager.
- To disseminate post to ward staff and women and redirect if necessary
