To carry out an initial triage of patients using various algorithms provided by clinical teams, and your own initiative, booking appointments where appropriate, ensuring patients are on the appropriate teams lists and forwarding complex cases on to clinical teams. To administer the processes for establishing efficient clinic utilisation; this includes identify and managing the long waiters with use of the PTL list, booking interpreters and supporting patients with booking of transport, sending group text message reminders to patients when appropriate, processing outcomes, cancelling and rescheduling clinics. To maintain accurate electronic records. To post out any paper resources/letters to patients/carers/other HCPs upon the request of the dietitians, as needed.
Booking/cancelling interpreters/BSL interpreters as needed for patients. To manage the generic mailboxes of the Nutrition & Dietetics service, respond to service users queries, forward relevant communications/reports to the clinical teams, and escalate complex matters as necessary to the Business Manager for resolution. Organising the booking of rooms and hospitality, photocopying materials, supporting logistics (in conjunction with systems admin team). To administer incoming and outgoing post as necessary.
Provide cover and support for the Business Manager when necessary, depending on the needs of the service. Work flexible Hours To work on other sites within Whittington Health Trust (Islington and Haringey) if necessary. To participate in the Trusts Appraisal system under the supervision of the Business Manager and Nutrition & Dietetics Lead and attend any training courses as deemed appropriate to meet the objectives of the service and for personal development. To take responsibility for self-development on a continuous basis, undertaking on-the-job training as required.
The above is only an outline of the tasks, responsibilities and outcomes required of the role. This may be reviewed on an ongoing basis in accordance with the changing needs of the Department and the Organisation. To take on specific projects from the Business Manager or Service Leads such as quality improvement projects, lead on specific areas of admin such as filling in empty clinic slots/help with moving equipment/organise the calibration of weighing scales in all clinic rooms used and portable scales, annually. Monitor and transfer patients on RIO teams to ensure they are sitting in the correct team and move if needed.
To undertake any other duties commensurate with the post, as agreed with the Dietetic Manager or Head of Service, Nutrition and Dietetics.
