Personal Assistant to Senior Management Team

To provide an effective, confident and efficient secretarial and administration service to members of the Divisional and Senior Management Team within Community Services Bury division.
- Provide complex diary management, arranging of meetings, appointments and interviews, as required.
- Provide a confidential secretarial service, maintaining confidentiality at all times.
- To prepare and type agenda and take, type and distribute minutes of meetings.
- To be responsible for the preparation and circulation of meeting information and agendas.
- To provide supervision and line management
- Maintain and develop a variety of systems to effectively manage workloads, including the use of bring forward systems.
- To provide administrative support for booking of rooms and arranging meetings, including the setting up of meetings/event planning and organising.
- To be the first point of contact for telephone enquiries using judgement to establish the validity and priority of the contact and direct calls/messages in a timely manner.
- To maintain internal filing systems aligned in accordance to the non-clinical records management strategy.
- To order and maintain equipment stocks, to check, prepare for authorisation and distribute equipment orders.
- Receiving and greeting visitors.
- To work as part of a team and closely with secretarial colleagues to support in times of absence.
- To provide cross cover for other Personal Assistants within the division including PA to Divisional Managers, across sites when required.

- Ensure the arrangement of meetings, workshops, and seminars, to include responsibility for travel, room bookings, and accommodation and hospitality arrangements.
- Ensure preparation of agendas, assembly and distribution of meeting papers, minute confidential/senior meetings and working groups including follow up actions.
- Prepare presentations, reports and briefing papers using a variety of formats, including but not limited to Powerpoint, Word and Excel.
- Ensure the maintenance and development of effective and efficient manual electronic filing systems.
- To liaise with and take responsibility for communication to both internal and external colleagues and ensure that telephone calls/enquires are dealt with tact, diplomacy and in a professional manner by self and team.
- Deal with a range of enquiries from internal and external contacts, using sympathetic and reassuring approach, where required, ensuring confidentiality at all times.
- Ensure the provision of photocopying and faxing services.
- Ensure the maintenance of office stationery stocks and supplies systems including room bookings, travel and hospitality and be an authorised signatory.
- Ensure the provision of accommodation arrangements.
- Ensure the completion of Staff Attendance Record Sheets.
- Undertake activities delegated by the division as appropriate.
- Prepare and agree a personal development plan and objectives for self as part of the staff appraisal scheme.
- Undertake personal training as required.
