As we continue to grow, we are searching for enthusiastic and motivated individuals with a passion for property and world-class client and customer service, ready to take the next step in their Property Management career and join us at our Gateway Mayfair office in London.

As a Property Assistant at Gateway, you will be responsible for proactively supporting our Property Managers with various administrative tasks. From assisting in the preparation of Service Charge information and Accounts, budget preparation and management, through to managing maintenance issues and liaising with customers and clients, no two days are ever the same

You will have exemplary relationship building, client management, listening and negotiation skills. As well as being ambitious, resilient, and analytical in your thought processes.

Other duties include, but are not limited to:

- To act as first point of contact for leaseholder and tenant telephone enquiries and provide guidance and support to them to assist with their enquires.
- Ensuring that calls are investigated and appropriately followed through to completion.
- Liaising with 3rd party contractors and organising site visits, for maintenance work and preparation of the relevant invoicing.
- Researching new contractors in accordance with the company’s agreed standards and procedures.
- Handling and filing incoming and outgoing correspondence on behalf of the Property Management team ensuring all correspondence is scanned and held electronically.
- Undertaking mail merges for correspondence to be sent to Leaseholders and Tenants.
- Use of Qube software and its diary system to record any updates to properties within the Team’s portfolio.
- Reviewing H&S reports and taking instructions from the Property Manager and organising works needed.
- Writing up Site Visit reports and taking instruction from the Property Manager in terms of organising the follow up works needed.
- Updating the internal Site Visit diary as and when necessary.
- Uploading photographs taken by Property Managers into Qube and ensuring diaries are always up to date.
- Liaising with our Facilities Team regularly to organise maintenance visits.
- Assisting in other administrative areas.
- Attending meetings which may be off-site or outside of normal working hours.
- Promoting services provided by Gateway

Pay: £24,000.00-£28,000.00 per year

**Experience**:

- Property Industry: 1 year (preferred)
- Administration: 1 year (preferred)

Licence/Certification:

- Driving Licence (required)
