- need to have a sound working knowledge of general office duties and an enthusiasm for administration and customer service.
- be well-organised with an ability to plan ahead and highlight problems in advance and to realise and plan for the knock-on effects of one’s actions.
- be able to work effectively under pressure in a busy environment, whilst maintaining a very high standard of work.
- be required to log your time and actions throughout the day to ensure accurate time billing to clients.
- be able to communicate confidently and naturally - both verbally and in writing with customers/ suppliers/ visitors/ enquirers and relevant staff
- possess a flexible and proactive approach and attitude to your duties, be capable of multi-tasking, juggling changing deadlines, preventing crises and seeing tasks through to completion, altering priorities to meet targets and deadlines and taking responsibility for seeing tasks through to completion.
- be able to work without constant supervision (after initial training period), using your initiative and making decisions and to know when you need help and ask when necessary.
- be able to collaborate with others and contribute as part of a team in order to achieve common company goals..
- have excellent numeracy, writing skills, spelling, grammar and attention to detail as well as a proficient working knowledge of MS Word, Excel, Outlook, and internet use. Tasks will include:
- Typing and word-processing various documents accurately and promptly eg. letters, reports, and electronic information.
- Answering incoming calls on behalf of clients, according to agreed standards; positive attitude, taking ownership, confident, polite, approachable, efficient, professional, natural and courteous.
- Methodical and meticulous record keeping including paper based filing and electronic document management.
You'll also:
- understand the importance of and be able to work with complete confidentiality and discretion in all matters.
- be proficient at establishing and maintaining professional relationships with co-workers, suppliers and clients; working effectively with different managers, clients and with people at all levels of partner organisations, treating each with respect, importance and professionalism, whilst being approachable and friendly.
- maintain regular, consistent and professional attendance and punctuality.
