So, what’s the job?
As we expand, we are recruiting for an Executive Assistant in Uxbridge. This is a permanent position reporting to the Chief Executive.
And what will you be doing?
- You’ll act as the central point of contact for the CEO Europe, Group CIO and UK Branch
Managers. Co-ordinate and drive collation of information for the monthly Business Review Update meetings (inc. ELT Meetings, Product Underwriting Committee, BUR etc)
- You’ll support preparation of corporate presentations and townhall decks
- You’ll design and develop materials for presentational use for meetings and seminars
- You’ll provide a conduit for the flow of information from senior managers and the wider business community
- You’ll pro-actively identify efficiencies in processes, both locally and globally to better support the way the team work across multiple locations and time-zones
- You’ll provide all required administrative support, and track and monitor all decisions and actions taken
- You’ll co-ordinate all travel and accommodation as required
- You’ll co-ordinate, support and minute take of required meetings
- You’ll pro-actively managing diaries across multiple time-zones with a recognition of both natural and ELT priorities, including pro-active signalling
- You’ll coordinate and manage all budgetary and related activities, including but not limited to, budget submissions, reforecasts and the ongoing monitoring of expense reports
- You’ll manage communication activities, both regular and ad-hoc (inc. Company communications etc)
- You’ll manage and coordinate all governance and operational aspects, e.g. management of meetings, call and follow up actions, training completion
- You’ll take responsibility for ad-hoc projects and initiatives on behalf of the CEO Europe as appropriate
- You’ll contribute to budgetary planning and provide reports and commentary to support the management and control of projects budgets and to optimise business performance
- You’ll track key project metrics, issues and risks
- You’ll support of HR initiatives where required including onboarding and wellbeing
**And yes, there are some requirements needed in order to be our future Executive Assistant**
- You’ll have previous experience within an Executive Assistant/Personal Assistant position
- You’ll have a high level of accuracy and attention to detail
- You’ll have strong organisational and influencing skills
- You’ll have experience of minute taking
- You’ll have experience of working across/supporting multiple time zones
- You’ll have the ability to travel (ad hoc as required)
