Who we’re looking for

We are looking for an Administrative Assistant/Receptionist to assist with scheduling of admissions to hospital and out-patient appointments as well as covering the out-patient reception area.

Deal with patients face to face and by telephone in a professional and welcoming manner.

Record details of patients arriving at Outpatient Reception and make return appointments according to clinical requirements or add to the waiting list

Using the Hospital computer (Patient Administration System) and other NHS systems.

Prepare all necessary paperwork for out-patient clinics and liaise with ward clerk for elective/planned admissions,

Setting up of new clinics, cancelling or reducing clinics or adjustment time slots.

Send appropriate paperwork to patients relating to appointments and admissions.

Reschedule appointments as and when necessary and escalate any concerns if capacity is not available to Consultant, Assistant Performance Manager, Business Coordinator or Service Manager.

Arrange booking of transport when appropriate

Answer routine telephone enquiries from patients and other members of staff.

Contact patients by telephone to book or confirm appointments/admissions.

The nearest train station is in Gobowen, approximately two miles from the hospital. The station is part of the Chester to Birmingham line.

Tasks within the Department will vary but will include some or all of the following:
1) Deal with patients face to face and by telephone in a sympathetic and welcoming manner and encouraging completion of patient comments cards.

2) Record details of patients arriving at Reception in Orthotics and make return appointments according to clinical requirements.

3) Using the Hospital computer (Patient Administration System) and other NHS systems including Oracle, EPR, Orthotics Database and Outlook.

i) Record and amend details of patients accurately on PAS

ii) Book outpatient appointments and generate confirmation letters

iii) Cancel and reschedule clinic appointments as requested by patients or clinical staff.

4) Prepare all necessary paperwork for outpatient clinics.

5) Send appropriate paperwork to patients relating to appointments.

6) Answer routine telephone enquiries from patients and other members of staff.

7) Contact patients by telephone to book or confirm appointments.

8) Maintain confidentiality at all times.

9) Report problems to appropriate supervisor.

10) Ensure that medical case notes are kept in good order and up to date.

11) Pull medical casenotes from casenote library and file casenotes into the library accurately.

12) Copy and distribute paperwork as necessary to support the functioning of the department.

Confident in working with Microsoft Excel, Outlook and Word. You will need to be flexible, adaptable, motivated, enthusiastic, with sound team working traits.
