Specialist Palliative Care Administrative Assistant

We have a great opportunity for an experienced Administrative Assistant to join the Specialist Palliative Care Nursing Team in South Warwickshire who deliver high quality, holistic palliative care to patients in their own home, clinic and hospital settings.
The Role would suit a person who is skilled in coordinating and planning, identifying tasks and manging own workload. We are looking for someone who enjoys supporting a team to ensure it functions at its maximum ability. Whilst experience of working in the NHS is desirable it is not essential. You will have the ability and confidence to cope with the demands and pressures of a busy working environment whilst being motivated and flexible in your approach
The successful applicant must have high standards, be self-motivated and possess excellent communication skills both written and verbally. Organisational skills in diary management; coordination of off duty rotas; education planning and coordination and be able to demonstrate they can complete required tasks effectively and on time are desirable.
They must have the ability to use their own initiative yet work within the remit of the role as this post does not require clinical knowledge.
The post is based at Whitnash Lodge, Leamington and Warwick Hospital and flexible working hours may be considered to support the needs of the teams
To provide comprehensive, confidential secretarial / administrative support to Specialist Palliative Care Teams in South Warwickshire
- namely South Warwickshire Community Team and Warwick Hospital Acute Team
To actively be involved in the coordination and administration of MDT.
To ensure clinical correspondence with other HCP’s is undertaken in a timely manner and available in patients electronic records
To provide support for Specialist Palliative Care Teams and contribute to the day to day running of the service.

To process referrals via EMIS and Lorenzo supporting the coordination of caseload at daily meetings
To support the development of Nurse Led Clinics
To support in monitoring ISPA calls and deal with non-clinical calls.
To support the introduction and delivery of a Triage, Response and Advice Service
To support members of the Specialist Palliative Care Team to compile teaching materials for Palliative and End of Life Care Education and support delivery and evaluation of Education.
To book rooms and venues for teaching sessions. Collate appropriate information or education packs and ensuring appropriate equipment is available for clinical staff to take to use to deliver education or training.
To send correspondence to patients and referrers regarding appointments and assessments.
To enter activity and discharge information onto EMIS patient system and maintain up to date database ensuring new referrals, discharges and changes to patient status are recorded
To handle and process patient records in line with the requirements of the Data Protection Act and Departmental standards.
To retrieve patient records when required and ensure the annual archiving of patient records is completed. Both electronically and in paper copy.
To monitor and manage the patient literature supplies, ensuring the up to date resources are available in all offices and order as required.
To take and transcribe minutes of admin and team meetings as requested
To deal with incoming telephone calls from staff, patients, external agencies and the general public, taking accurate messages and action when necessary.
To book rooms training / meeting rooms, as requested.
To collate and upload performance and quality data with the support from appropriate Team members and relevant data collection support staff of the Trust:
- Collating and submitting NACEL Data and working with the team to report and monitor outcomes
Uploading a record of any clinical telephone advice provided by members of the Palliative Care Team to the relevant clinical database.
