Role Purpose

Undertake a range of reception duties across the business always presenting a positive image of QinetiQ and ensuring that processes and procedures are followed.

The list of accountabilities details tasks which the role holder may be required to undertake. This list is not exhaustive and the role holder may be required to undertake other related tasks appropriate to their level of seniority.

Key Accountabilities

Demonstrates understanding of the concepts of the business administration and has awareness of other business areas

Provides informal support and training for colleagues with less experience

Ensures quality of output from self and others where appropriate

Identifies issues within own remit and uses standard practices to resolve where appropriate.

Communicates and exchanges information using tact and diplomacy

Demonstrates understanding of how the team integrates with others to accomplish objectives

Support other business areas as requested with admin tasks using QinetiQ systems and processes

Outputs

1. Maintaining a range of records, entering, collating and organising data using standard methods to assist with data analysis.

2. Providing reception service and assistance to internal and external customers

4. Administration of complex visitor bookings, including large groups and pre planned visits

5. Providing support to groups of visitors, i.e. booking onto site, using standard procedures and in line with health and safety and security requirements

6. Liaising effectively with visitor hosts advising of security aspects and ID requirements

7. Sending and receiving mail or goods using standard security and safety procedures

8. Production of accurate Microsoft Office documents, and appropriate storage of documents in accordance with procedures.

9. Archiving and/or filing selecting the appropriate storage method. Retrieval of information as required.

10. Support the wider team with admin tasks and assistance with safety inspections around site ensuring results are documented correctly and when required uploaded to the CAT tool.

11. Supporting other business areas by becoming competent on the QinetiQ financial and purchasing systems; raising purchase orders and then receipting goods on Ariba.

12. Identifying and communicating continuous improvement opportunities within own role and assistance with the implementation of the improvement.

13. Providing holiday/sickness cover for other members of the reception team as required.

Experience & Qualifications

Essential
- Experience in a customer facing role or reception environment
- Demonstrable business administration experience equivalent to NVQ Level 3

Desirable
- Business admin or customer service qualification to NVQ Level 3
