This position presents the opportunity and challenge of working in both a dynamic and exciting environment within the UK’s largest dedicated online grocery retailer and technology business. As a permanent Administrative Assistant you will be working as part of a busy team with plenty of variety. This is a hybrid role, working 2/3 days from home and 2/3 days from the office. This position is responsible for supporting the multiple departments within PI in an administrative capacity - including but not limited to raising POs, booking travel/accommodation, team communication, event coordination. Due to the rapid growth of our project pipeline and employee numbers, this role and team is integral in keeping the PI function organised.
**In this job, you will be accountable for**:
- Raising Purchase Orders
- Booking hire cars in accordance with company policy
- Booking travel and accommodation for employees
- Assisting with meeting room bookings and hospitality requests
- Onboarding new starters
- Training administration and support
- Timesheet reporting and administration
- Organising seating/desks/chairs/equipment/notice boards/stationary
- Event and function management
- Team communication including the department wide newsletters
- Supporting Employee Engagement activities across the department
- Maintaining the department website and org charts
- Assisting with ad-hoc requests, e.g. data classification, governance and software administration
- Other general administrative and ad-hoc tasks
- Assisting and providing cover when the Team Coordinators are on holiday
**Skills and experienced required**:
- Previous experience in a team support/administration capacity within a fast paced business
- Experience working with numbers and spreadsheets
- Proven ability to prioritise, meet deadlines and make the best use of limited resources
- Ability to communicate confidently with stakeholders all levels (including senior managers, Heads of Department and Directors)
IT skills - intermediate level MS Office (including Word, Excel and PowerPoint) Strong attention to detail and ability to problem solve
- Team player who is self-motivated and able to multitask under pressure
- Flexible approach to working hours to support 24/7 business operation
- Excellent communication skills - both written and verbal
