**Summary**
Our small but growing company needs a reliable, organised Receptionist and Office Assistant to manage the day-to-day office administrative duties.
The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent communication skills.
If you have worked in a fast-paced office in the past we’re excited to talk with you. We’re looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed.
**Duties**
- Performing receptionist duties such as greeting visitors, answering the main phone line to the office and routing calls, taking messages and picking up phones of unavailable colleagues;
- Managing of all office correspondence (post/fax/couriers) through collection and distribution of post within the office, logging outgoing and incoming deliveries, ensuring outgoing post is sent correctly, sending of faxes and processing faxes received. Responsibility of courier (TNT, Fedex, Baxter Freight) accounts and preparing outgoing shipments, including creating manifests, commercial invoices and shipping labels;
- Making tea, coffee and other hot beverages for visitors, arranging food for the office;
- Maintaining the recycling scheme within the office;
- Monitoring employee children’s birthday calendar; ordering birthday and Christmas presents;
- Assisting in organising company-wide events;
- Processing business trip requests and ensuring that procedures are being followed correctly;
- Researching and booking all travel arrangements for the Company’s UK and Non-UK staff (travel, visas, accommodation, etc.);
- Updating and maintaining the Company’s business trip calendar on MS Outlook;
- Ensuring the Company’s driver is kept informed of bookings and maintaining his calendar;
- Checking business trip expenses;
- Assisting in updating the Company’s business travel regulations;
- Being available outside the office hours for emergencies;
- Performing other Office Assistant duties when requested (retrieving documents and files, liaising with suppliers, monitoring stationery stock levels, other ad hoc administrative duties)
**Skills, knowledge, experience and qualifications**
- Ability to work under pressure and in a fast-paced environment
- Be proactive and professional and be able to deal with people at all levels
- Computer literate with knowledge of MS Office suite
- Positive and can-do attitude
- Experience of working within an office environment
- Strong administration and organisational skills
- Time management skills
- Build trust, value others, communicate effectively, drive execution, foster innovation, focus on the customer, collaborate with others, solve problems creatively and demonstrate a high level of integrity
