Governance Administration Officer

The post-holder provides senior administrative support within the Corporate Secretarial in an efficient, effective and high-quality manner and acts as a conduit between Executive Directors and senior management to ensure effective communication is in place at all times. The post-holder will be responsible for their workload to meet the demands of the Associate Director Quality & Corporate Affairs and colleagues within the Corporate Secretariat where appropriate for ensuring necessary follow up action and deadlines are met. The post-holder will be required to provide high level support to Board Committees requiring minute taking skills. The position requires a high degree of initiative and the ability to deal with multiple tasks often with conflicting timescales.
To provide administrative support service to the Corporate Governance Team, to include:
- Diary management of Corporate Governance diaries to the highest standard, including arranging meetings, booking venues, liaising with people at all levels both internally and externally.
- Typing, formatting and preparation of documents in line with Trust policy, including reports, letters, excel spreadsheets and presentations.
- Provision of secretarial and administrative support to Board Committee meetings; including preparation of agendas and circulation of papers, and transcription of minutes to the highest of standards.
- Responsible for initiating and following up on actions arising from various meetings.
- To act as the first point of contact for the Governance Team.
- To organise the booking of travel and accommodation as required.
Corporate Support
Prepare agendas and papers for board meetings, committees and annual general meetings (AGMs), take minutes and follow up on action points.
- Ensure policies are kept up to date and approved by the committee
- Develop and oversee the systems that ensure the company complies with all applicable codes
- Supporting the provision of company secretarial services to directors, including:
- Board meeting administration
- Document execution
- Training as a Company Secretary within a Company Secretarial function and providing cover for the team in the absence of other members.
The Corporate Executive Assistant Team provides full administrative and personal assistant support for all corporate services relating to the offices of the Chairman and Chief Executive, the Executive Directors, and Corporate Affairs including the Council of Governors and Members of the Foundation Trust.
